About The Position

The Official Languages and Bilingualism Institute (OLBI) at the University of Ottawa is seeking an Intermediate Project Manager to facilitate a donor-funded academic initiative. This role is crucial for enhancing both academic and experiential learning for students. Reporting to the Director of OLBI and working under the guidance of the Steering Committee, the Project Manager will oversee daily operations, lead communications, and coordinate resources to ensure the successful completion of this initiative phase, adhering to the established project plan. The In-Depth Experiential Learning program aims to provide students with a structured path to connect academic learning with practical, hands-on experience through coursework, community engagement, research, professional placements, creative projects, and reflective learning. This program helps students develop transferable skills, deepen their knowledge, and build connections between their studies, career aspirations, and real-world issues.

Requirements

  • Master’s degree in education or equivalent combination of education and experience
  • 3 years of experience in curriculum development or project management in a post-secondary institution or governmental environment
  • Knowledge of university studies, academic programs (undergraduate and graduate levels), and principles of experiential learning.
  • Excellent knowledge of local, national, and international networks/partner organizations and of the principles of community engagement and social accountability.
  • Proven experience in project management.
  • Ability to build positive relationships with internal and external stakeholders and partners.
  • Ability to persuade and influence people without a relationship of authority.
  • Excellent communication skills, verbally and in writing; ease at public speaking and ability to present in both official languages.
  • Demonstrate ability to multitask, prioritize work and meet deadlines.
  • Ability to work independently to achieve work-related goals.
  • Ability to work effectively under pressure in a team environment.
  • Excellent initiative and autonomy.
  • Fluently bilingual in French and English (spoken and written).
  • Ability to work during a select number of weekends when project-related events are taking place.

Nice To Haves

  • Selected candidates must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language, determined by a proficiency test.

Responsibilities

  • Monitor, analyze, and communicate project status to the project team, sponsor, and stakeholders.
  • Coordinate project meetings, including agendas, minutes, and documentation.
  • Maintain project documentation in accordance with project management methodology and sponsor requirements.
  • Coordinate the hiring of contractual resources for course development.
  • Communicate work assignments, requirements, and timelines to contractual staff.
  • Review course curriculum deliverables and follow up on quality and timeliness, escalating issues to the Director as needed.
  • Manage stakeholder engagement and relations, including problem resolution and conflict negotiation.
  • Build and manage relationships with internal and external stakeholders.
  • Promote project goals within the Faculty of Arts, the University of Ottawa community, and with external partners.
  • Oversee logistics for project-related events such as weekend Arts Labs/Challenges, including room reservations, material preparation, facilitator hiring, and communication.
  • Attend events to ensure smooth operation and resolve any arising problems.
  • Assist with other event support tasks as needed.
  • Ensure contractual workers are paid.
  • Monitor project expenses, investigate irregularities, and provide budget reports.
  • Coordinate the preparation of reports, drafting significant sections independently.
  • Collaborate on abstracts, poster presentations, peer-reviewed publications, and other deliverables.
  • Develop and manage project communications (website, social media, blogs, media) with the ILOB Marketing Manager.
  • Prepare necessary documentation for Senate and Council on Undergraduate Studies requests.
  • Communicate and coordinate updates to program requirements and course calendar information.
  • Supervise other project employees, assigning and reviewing their work.
