About The Position

Levenfeld Pearlstein is seeking a Legal Coordinator to support our Intellectual Property Practice Group. This position offers the opportunity to work closely with attorneys and legal professionals on trademark, patent, copyright, and IP portfolio matters while providing a broad range of administrative, organizational, docketing, and filing support. The ideal candidate will be highly organized, detail-oriented, and comfortable managing multiple priorities and deadlines in a fast-paced environment. Strong communication skills, exceptional attention to detail, sound judgment, and a commitment to client service are essential.

Requirements

  • Superior working knowledge of Microsoft Outlook and Word, including styles, formatting, and redlining.
  • Proficiency with Adobe Acrobat
  • Exceptional organizational skills and the ability to manage multiple active matters and competing deadlines simultaneously.

Nice To Haves

  • experience with iManage and IP docketing or portfolio management software is strongly preferred.
  • Preferred experience with intellectual property administrative software tools such as IPDAS, CPI, and Foundation IP.
  • Prior experience supporting intellectual property practice is preferred.

Responsibilities

  • Preparing, editing, proofreading, and formatting correspondence, legal documents, reports, and client communications from written and oral drafts.
  • Opening new client matters and maintaining organized electronic files, databases, and intellectual property portfolio materials.
  • Assisting with the preparation and filing of U.S. trademark and patent documents and related correspondence, including coordinating signatures and supporting materials.
  • Tracking trademark, patent, copyright, renewal, annuity, and other critical deadlines through docketing software and attorney calendars.
  • Reviewing docket reports, communicating upcoming deadlines, and following up on outstanding action items with attorneys and other team members.
  • Coordinating U.S. and foreign filings with clients, outside service providers, foreign associates, and government offices under attorney or paralegal direction.
  • Preparing and updating IP portfolio status reports, filing confirmations, and matter summaries.
  • Coordinating filing fees, invoices, vendor charges, expense reimbursements, and credit card reconciliations.
  • Maintaining calendars, scheduling meetings, and coordinating travel arrangements and dining reservations, as needed.
