About The Position

Our Intake Specialist oversees all functions related to the intake of new clients in our mental health / addiction services programs. This includes the responsibility to engage incoming clients through phone calls, recording their personal details, gathering medical histories, and obtaining applicable health insurance information. A successful Intake Specialist will be highly organized, detail oriented and have excellent interpersonal skills, with a strong aptitude for great customer service. The new team member we seek will have insurance verification / billing experience. Being bi-lingual would be a PLUS! While our Client Intake Specialist will work remotely from an established home office, there is an expectation for quarterly team meeting attendance at our Grand Rapids-based offices. This position has a pay rate of $18.00 per hour plus comprehensive benefits and PTO.

Requirements

  • High school diploma with additional course work in Secretarial Science or a related field preferred.
  • Minimum two years clerical experience preferred.
  • Valid unrestricted driver's license with good driving record and proof of automobile insurance.

Responsibilities

  • Overseeing all functions related to the intake of new clients in the BH.SUD Programs Office(s).
  • Engaging incoming clients through phone calls, recording their personal details, gathering medical histories, and obtaining any health insurance information they have.
  • Answering initial telephone call inquiries about outpatient services in a customer friendly manner.
  • Completing all admission paperwork and entering it digitally.
  • Verifying medical insurance and benefits for each patient.
  • Completing brief screens when necessary.
  • Completing an inquiry form and tracking the follow-through of other program personnel.
  • Setting up initial appointments and sending relevant information/forms to the caller when appropriate.
  • Understanding the office management responsibilities of the administrative team and supporting other tasks as necessary.
  • Maintaining an up-to-date record of intakes, transfers, discharges, and service plan rotation, notifying Therapists and Supervisors of report deadlines on a bi-weekly basis.
  • Maintaining Outpatient Therapists' schedules and, in conjunction with Therapists, scheduling client appointments.
  • Developing and maintaining systems that assure the meeting of both internal and external standards.
  • Scheduling clients for SUD program for all locations and assisting other offices with scheduling when necessary.
