About The Position

Be a part of a world-class academic healthcare system at UChicago Medicine as an Intake Coordinator with our Digestive Disease clinic in DCAM. This position is a 100% onsite opportunity. You will need to be based in the greater Chicagoland area. We provide care for all types of digestive conditions, from inflammatory bowel disease and liver disorders to esophageal, pancreatic and bile duct diseases, as well as all forms of gastrointestinal cancers. Our GI specialists offer exceptional care based in advanced, research-driven medicine for both common and rare GI conditions. We are one of the nation’s top-ranked hospitals for gastroenterology and GI surgery. Under general direction, serves as the first point-of-contact for patients and physicians to coordinate services with UCMC medical professionals, ancillary services, BSD, and hospital offices/staff. Provides administrative services, data analysis, and customer service to facilitate efficient and effective processes for patients to access various services within the hospital. Provides guidance to patients through the evaluation process, works with various departments to ensure patients complete their itineraries, revises and communicates itinerary changes as required.

Requirements

  • A minimum of two years’ experience in a hospital or medical setting preferred.
  • Experience working with various Microsoft based computer software programs for Excel and Word.
  • Knowledge of scheduling templates, insurance verification, and third-party collection procedures.
  • Knowledge of hospital billing and collection processes.
  • Ability to perform basic data analysis.
  • Ability to solve problems independently, performs multiple tasks simultaneously, exercise good judgment, and work effectively in a team environment.
  • Ability and willingness to cooperate with co-workers, supervisors, and physicians to best serve the patients.
  • Ability to learn and incorporate new systems and processes.
  • Excellent customer service and interpersonal skills requiring tact, discretion, and maintaining patient confidentiality.
  • Excellent verbal and written communication.
  • Ability to attend mandatory training classes offered by the Medical Center after hours or on weekends, with advance notice.

Responsibilities

  • Serves as the primary contact for non-clinical care coordination through the continuum of care for patients, families, and referring physicians.
  • The first point-of-contact for patients and physicians to coordinate services with UCMC medical professionals, ancillary services, BSD, and hospital offices/staff.
  • Coordinates and manages educational/advisory meetings, evaluation tests, and consultations for patients within specified time periods.
  • Immediately and independently resolves issues encountered during the day to keep the patient on schedule.
  • Provides advance notice to patients and referring physicians of required follow-up testing to maintain regulatory compliance, and coordinates the required follow-up.
  • Collaborates with various departmental staff to ensure proper insurance and billing information is provided for patient’s services
  • Manages and utilizes databases such as the program’s patient progress database (Microsoft Access) and the MBSAQIP data registry platform to enter surgical patient data in a timely manner, maintain updates, provide statistical data, and provide detailed reports (charts, graphics, tables, etc) as needed to management on patient services.
  • Creates and organizes mailings as applicable to regulatory agencies.
  • Manages the day-to-day operations for the collection and transliteration of primary source documentation for regulatory reports for patients.
  • Responds to inquiries from regulatory agencies, resolves issues/discrepancies, and prepares correspondence to ensure the proper and timely transfer of appropriate information.
  • Generates and distributes program materials, welcome packets, educational materials, appointment itineraries, and various notification letters per protocols.
  • Triages patients, responds to referring physicians, UCMC medical professionals, and case manager requests, and independently determines the appropriate course of action.
  • Handles confidential information consistent with Federal HIPAA legislation, and all other applicable federal, state, local, and institutional regulations with regard to confidentiality.
  • Performs other duties assigned.
