About The Position

Verbal Beginnings is seeking an Intake Coordinator, Referral Relations to build rapport and establish connections with prospective clients and referral sources. This role involves assisting prospective clients with questions, guiding them through Verbal Beginnings' offerings to determine the best fit, and collaborating with intake, field, and center operations departments. The Intake Coordinator is responsible for representing the organization with excellent customer service and maintaining organized, detailed records of interactions with leads.

Requirements

  • Associate's or Bachelor's degree preferred (in-progress accepted).
  • 3+ years of experience in a high-phone-volume role.
  • Minimum of 3 years of customer service or related experience.
  • Proficiency in Google Workspace or Microsoft Office Suite.
  • Comfort with business development / sales-oriented outreach.
  • Strong relationship-building, communication, and organizational skills.

Nice To Haves

  • Experience with Salesforce or CentralReach preferred.
  • Existing knowledge of autism education or Applied Behavior Analysis preferred.

Responsibilities

  • Build rapport with and maintain/nurture relationships with referral sources (diagnosticians, pediatricians, and other partners); proactively re-engage lapsed referral partners.
  • Call on and respond to new and existing client and referral bases to support targeted region and program goals (approx. 50–75 calls per day).
  • Manage a caseload of intakes: guide potential clients through the enrollment/intake process and screen them for entry into the appropriate program.
  • Attend sales calls and in-person meetings with referral sources to present updated information on Verbal Beginnings program openings and availability.
  • Maintain detailed, accurate records of all leads, referrals, and communications in Salesforce.
  • Track and report performance data on calling outcomes against goals.
  • Collaborate with field operations and center operations teams to support their departmental goals.
  • Maintain working knowledge of Applied Behavior Analysis (ABA) therapy — how it works and how it's implemented across VB's programs — sufficient to speak knowledgeably with referral partners and families.
  • Stay current on state regulations governing insurance coverage of ABA services for children diagnosed with ASD, across all states VB serves.
  • Perform other duties as assigned.
