About The Position

The Intake Coordinator serves as a key entry point to the Office for Faculty Relations’ (OFR) framework, supporting a learning-centered, trust-based approach to professional excellence within the School of Medicine. This role ensures that faculty concerns related to professional conduct are received with care, assessed consistently, and addressed through aligned institutional processes that emphasize accountability, humanism, and continuous improvement. The Intake Coordinator balances operational rigor with human-centered engagement, supporting both individual faculty experiences and broader organizational learning. With guidance by OFR leadership and in close collaboration with campus partners, as guided by accepted reporting procedures (e.g., Central Human Resources Employee Relations and Performance, Office of Equity, clinical affiliates medical staff offices, including UCH, NJH, VA, DH, CHCO, and other campus offices), the role contributes to a transparent, equitable, and systems-aligned approach to faculty professionalism that reflects collaborative responsibility across the academic community. The Intake Coordinator coordinates the intake, documentation, and early assessment of reports related to faculty conduct and professional excellence within the School of Medicine. This role supports timely and compassionate engagement with reporting and impacted parties, facilitates appropriate referrals and next steps to institutional partners, and ensures accurate, private documentation in alignment with university policy and OFR processes. The position plays a critical role within the School of Medicine by reinforcing trust in institutional processes, supporting leadership decision-making, and contributing to data-informed improvement of faculty relations systems. At the senior level, this role will provide intake coordination completely independently.

Requirements

  • Bachelor’s degree in a related field from an accredited university.
  • Minimum of one (1) year of experience in case coordination, student affairs, faculty or employee relations, investigatory support, or related work.
  • Ability to engage with individuals experiencing stress or navigating sensitive workplace concerns.
  • Ability to support complex, sensitive matters requiring judgment and discretion.
  • Familiarity with faculty governance, academic culture, or faculty affairs processes.
  • Familiarity with case management systems (e.g., Maxient) and data-informed reporting.
  • Demonstrated interest in professional excellence, organizational culture, or faculty development.
  • Ability to apply sound judgment in complex, nuanced situations.
  • Commitment to professional excellence, accountability, trust, and humanism as shared institutional values.
  • Ability to balance consistency in process with responsiveness to individual and contextual needs.
  • Ability to maintain strict confidentiality with case information.
  • Strong interpersonal skills and ability to engage respectfully with faculty, staff, and leadership.
