About The Position

Berkeley Lab's Office for Prevention of Harassment and Discrimination (OPHD) is looking for an Intake/Case Coordinator responsible for managing complaint intake, case coordination, and tracking progress of cases related to nondiscrimination, Title IX, Whistleblower and Workplace Violence concerns. The coordinator will ensure compliance with required timelines, support the Director with administrative tasks, and assist with reporting and analysis of cases. OPHD promotes a discrimination-free workplace by addressing harassment, discrimination, and retaliation, while adhering to nondiscrimination laws and best practices. The office emphasizes safety, fairness, and trauma-informed approaches to create a culture of accountability at Berkeley Lab. We seek candidates with strong collaboration, communication, and problem-solving skills, as well as experience in case coordination, administrative support, and investigative practices. Candidates should be familiar with the Lab's stewardship values and able to support the Director with tasks like calendaring, travel, and expense reporting.

Requirements

  • A minimum of 4 years of related experience supporting members of a leadership team in a large complex research, scientific, academic, or operations environment.
  • Demonstrated experience providing high-level administrative support including email correspondence, calendar management, scheduling, arranging and managing complex travel, expense reports, meeting planning and project coordination, tracking and data management, and report generation.
  • Experience interviewing complainants, preferably using trauma-informed techniques.
  • Experience with data collection, analysis, and tracking for compliance.
  • Experience with trauma-informed training or willingness to receive it.
  • Proficiency with a variety of cloud-based software platforms and applications including MS Office Suite, Google Applications Suite, Adobe Acrobat, and Zoom video conferencing on a Mac or PC computer.
  • Demonstrated written communication skills, including experience handling sensitive and confidential case files, documents, and reports.
  • Excellent organizational skills, including experience handling competing priorities, meeting deadlines, assuming responsibility, taking initiative, and responding quickly to changing work priorities.
  • Demonstrated oral and interpersonal skills, including experience interfacing with personnel at all levels both internal and external to an organization with a high degree of professionalism, discretion, sensitivity, and confidentiality.

Nice To Haves

  • A Bachelor's Degree (or equivalent training/knowledge) in Business or a related field.
  • Knowledge of UC and Lab policies, procedures, and best practices to ensure case compliance.

Responsibilities

  • Facilitate OPHD case management by supporting intake of all concerns.
  • Coordinate, track, report, and analyze cases received by OPHD.
  • Prepare timely preliminary assessment summaries for the Director, in compliance with the University of California (UC), Lab policies, and relevant laws.
  • Coordinate administrative processes and refer cases to other LBNL departments for follow-up.
  • Assist with formal investigations and informal resolutions, including interview preparation and note-taking.
  • Maintain case records for OPHD.
  • Support the Director (Title VII, IX, and EEO Officer) with administrative tasks such as calendaring, travel, and expense reporting.
