About The Position

Join Job Duck as an Intake Specialist and play a key role in keeping a busy legal practice organized, responsive, and client-focused. In this role, you will serve as the first point of contact for clients while supporting critical administrative workflows that keep daily operations running smoothly. You will manage communications, maintain accurate records, and ensure timely follow-ups, contributing directly to a seamless client experience. Requirements

  • Work schedule: Monday to Friday, 8:00 a.m. to 5:00 p.m. PST
  • Experience supporting administrative or intake processes is required
  • Strong English communication skills, both written and verbal
  • Experience handling client-facing communication and phone calls
  • Familiarity with CRM platforms and data management
  • Ability to manage inboxes, calendars, and digital documents efficiently

Responsibilities

  • Support ongoing process improvement and documentation efforts
  • Coordinate meetings and daily activities
  • Follow up with clients to ensure timely communication
  • Maintain and update CRM records with accurate data
  • Draft documents, internal manuals, and standard operating procedures
  • Schedule appointments and manage calendars
  • Prepare, draft, and send invoices using MyCase on a biweekly basis
  • Send requests for client reviews and feedback
  • Manage inboxes, including sorting and handling junk email
  • Organize and maintain digital files and documents in OneDrive
  • Conduct client intake and gather accurate information
  • Answer and manage incoming phone calls professionally
