About The Position

Responsible for performing a wide variety of clerical/receptionist and teller duties for the Insurance department. The Insurance Receptionist’s duties include, but are not limited to, welcoming on-site visitors and determining their nature of business in order to direct them to the appropriate team member, answer incoming phone calls, properly filing documentation, schedule meetings/appointments, keeping the reception area tidy and clean, maintaining proper inventory of office supplies, and sorting and distributing office mail. ESSENTIAL DUTIES The duties listed below may not include all responsibilities that the person in this role may be asked to perform. Incumbent may be required to perform other related duties, as assigned, including cross training across other departments, as necessary.

Requirements

  • High School Diploma or GED
  • Prior cash handling experience required
  • Up to six months of similar or related receptionist/clerk experience
  • Demonstrated ability to retain, recall, and consistently apply detailed procedural information
  • Excellent customer service, telephone etiquette, time management, recordkeeping and organizational skills
  • Professional and business writing proficiency
  • Good verbal and written communication skills
  • Ability to use basic office equipment
  • Bilingual in English and Spanish

Responsibilities

  • Provide a welcoming and positive first impression to clients and visitors
  • Handle incoming calls, transfer calls to the correct departments, and take messages.
  • Sort, distribute, and process incoming and outgoing mail.
  • Accurately enter and update client information in agency systems.
  • Assists clients with service needs and making changes to existing accounts
  • Reconciling of Group Health Accounts
  • Pre-qualifies new business according to agency guidelines
  • Assists clients with making changes to existing coverage in an automated environment supported by transactional filing
  • Determines appropriate billing methods for each client, and applies it accordingly
  • Informs and educates clients about policy coverage, changes, exclusion and insurance needs
  • Provides technical support to Producers to benefit clients and to reach the agency’s overall business goals
  • Prepares proposals and completes applications in cooperation with Producers and account executives.
  • Follow up with customers and help build strong customer relationships.
  • Monitor office supply levels and notify managers when restocking is needed.
  • Work closely with insurance agents and other office staff.
  • Maintains current knowledge of internal risk controls and loss prevention, including reporting of suspicious or unusual customer activity per Bank policy
  • Maintains current knowledge and complies with all federal and state laws and regulations and all established Bank policies and procedures, including internal audit controls related to department operations
  • Maintains current knowledge of all rules, regulations, and laws as they apply to BSA/OFAC/USA Patriot Act/CIP/AML
