We’re looking for an Insurance and Bond Specialist that will provide administrative, documentation, tracking, and follow-up support for the insurance and surety bond activities of RNGD and Pontchartrain MEP, with a primary focus on subcontractor compliance. Success in this role means compliance records are complete, current, and readily retrievable; renewals and outstanding requirements are actively tracked; subcontract and project workflows continue moving; and potential insurance or bond issues are identified and escalated promptly. This role works at the direction of and in support of the Insurance Manager as part of the Risk Management Team. The Specialist requests and organizes insurance policies, certificates, endorsements, payment bonds, performance bonds, and related documentation; performs preliminary completeness checks against established requirements; maintains accurate tracking systems; and coordinates follow-up with subcontractors, brokers, sureties, and internal teams.

Requirements

  • Ability to manage multiple priorities, deadlines, renewals, and outstanding-document requests while using sound judgment and escalating issues appropriately.
  • Clear and professional communication skills, discretion when handling confidential information, and the ability to build effective working relationships.
  • Proficiency with Microsoft Office and the ability to learn insurance, surety, contract, and project management systems.
  • Applies established requirements and checklists to request, organize, and preliminarily review insurance and bond documentation while recognizing matters requiring escalation.
  • Maintains precise logs, expiration dates, approval statuses, and retrievable records across insurance, bond, prequalification, and subcontractor default insurance workflows.
  • Manages competing requests, renewals, deadlines, and dependencies while helping keep subcontract and project workflows moving.
  • Communicates clearly and professionally with the Insurance Manager, Risk Management, project teams, subcontractors, brokers, carriers, and surety partners.
  • Exercises sound judgment within assigned authority, protects sensitive information, and identifies recurring administrative issues or inefficient processes.

Nice To Haves

  • Two to five years of experience in construction, insurance, bonding, contract administration, compliance, or a related field preferred.
  • Bachelor’s degree in risk management, insurance, business, construction management, or a related field and a Property and Casualty license preferred; equivalent relevant experience may be considered.
  • Experience working with certificates of insurance, endorsements, payment and performance bonds, subcontractor compliance, or similar documentation preferred.

Responsibilities

  • Request insurance policies, certificates of insurance, endorsements, and other required evidence of coverage from subcontractors based on established contract requirements.
  • Perform preliminary completeness checks using approved requirements, checklists, and sample certificates of insurance.
  • Document apparent deficiencies, missing information, expired documentation, or inconsistencies and promptly escalate them to the Insurance Manager.
  • Coordinate follow-up communications and obtain additional or corrected documentation requested by the Insurance Manager.
  • Collaborate with the Insurance Manager to prepare and maintain approved sample certificates of insurance and insurance exhibits.
  • Request, receive, organize, and track subcontractor payment and performance bonds, riders, powers of attorney, and related surety documentation.
  • Perform preliminary administrative checks of bond submissions, including the named principal, obligee, project identification, bond type, penal sum, execution, dates, seals, powers of attorney, and required attachments.
  • Route all bond documentation to the Insurance Manager for substantive review, exception decisions, and final approval.
  • Follow up on missing, corrected, replacement, or original bond documentation as directed.
  • Maintain visibility into bond receipt, review, approval, and outstanding requirements and communicate status to the appropriate stakeholders.
  • Maintain accurate insurance and bond logs, electronic files, expiration and renewal dates, outstanding-item lists, and approval statuses.
  • Monitor missing, expiring, corrected, and replacement documentation and complete timely follow-up.
  • Save approved insurance and bond documentation in the designated systems and ensure records remain current, organized, and readily retrievable.
  • Prepare regular reports and status updates regarding insurance compliance, bond receipt and approval, expirations, renewals, and outstanding items.
  • Support project, audit, and internal-review needs by locating and organizing requested documentation.
  • Assist the Insurance Manager with administration of the Subcontractor Default Insurance and Subcontractor Prequalification programs.
  • Support document collection, tracking, follow-up, status reporting, and record maintenance for assigned subcontractor programs.
  • Assist the Insurance Manager and Staff Attorney with bid reviews by gathering insurance and bond requirements and organizing relevant source documents.
  • Prepare initial checklists, summaries, and supporting documentation for management and legal review.
  • Help maintain approved insurance and bond exhibits used to communicate established requirements.
  • Provide day-to-day administrative and coordination support to the Insurance Manager for insurance, bonding, subcontractor compliance, and related risk management activities.
  • Help keep subcontract and project workflows moving by communicating status, following up on open items, and escalating delays or unresolved issues.
  • Maintain professional working relationships with subcontractors, internal project teams, insurance brokers, carriers, surety brokers, and sureties.
  • Communicate documentation requests, deadlines, deficiencies, and next steps clearly and professionally.
  • Provide timely updates regarding compliance status and promptly elevate matters requiring management review or direction.
  • Assist with gathering, organizing, and maintaining documentation needed for insurance claims, bond claims, carrier or surety inquiries, audits, and internal reviews.
  • Protect confidential and sensitive business, insurance, claim, financial, and subcontractor information.
  • Identify recurring administrative issues and recommend practical improvements to tracking, filing, communication, and follow-up procedures.
  • Follow established approval authority, procedures, and escalation requirements when handling insurance and surety matters.
  • Do not independently bind coverage, waive contractual requirements, approve exceptions, execute bonds, or commit the company to insurance or surety terms.
  • Perform other duties as directed by the Insurance Manager or Risk Management leadership.
