About The Position

The Instrument Coordinator is responsible for the completion and accuracy of new instrument sets, assessment and evaluation of instrument tray packaging and weight, and the acquisition and replacement of new, damaged, or missing instruments. The role involves daily communication with charge resource nurses in each OR department and with Central Sterile Processing Department Management and Lead Technicians to ensure concise communication. The Coordinator assists with case cart build preparation and coordination of instrument delivery to the Operating Rooms. They prepare instrument refurbishing schedules, maintain an organized work area, and account for instrumentation released and received for refurbishing. This position controls and minimizes individual peel-pouched items in the instrument storage area, utilizing these instruments in sets when needed, and supplying overstocked instrumentation to SPD. The Instrument Coordinator must be able to resolve problems related to instruments, implants, drills, and all power equipment. The Coordinator analyzes instrument usage through various tracking reports, identifies the need for modification of usage/tray-builds and adjustments to preference cards. They have the authority to influence decision-makers on modifications to preference cards or inventory orders.

Requirements

  • Bachelors degree and one year Central Sterile Processing (CSP) experience, AND Certified Registered Central Service Technician through Healthcare Sterile Processing Association (HSPA) or CBSPD.
  • OR 2 years of experience (at least one of those years must be Central Sterile Processing experience), Certified Registered Central Service Technician through Healthcare Sterile Processing Association (HSPA) or CBSPD, and at least 1 of the following certifications: Certified Registered Central Service Technician (CRCST), Certified Instrument Specialist (CIS), Certified Endoscope Reprocessor (CER), Certified Healthcare Leader (CHL), Lean Six Sigma Green Belt, Lean Six Sigma Black Belt, Certified Surgical Technologist (CST) via National Board of Surgical Technology and Surgical Assistant, National Commission of Certification for the Certification of Surgical Assistants, or American Board of Surgical Assistants.
  • Required Licenses: Central Sterile tech (HSPA).
  • Must be able to effectively communicate with all levels of the organization.

Nice To Haves

  • 3 years experience with surgical instruments.
  • Knowledge of instrument tracking software such as SPM.
  • Customer service experience.

Responsibilities

  • Perform other departmental duties as needed.
  • Coordination of instrumentation needed for the following day with the OR schedule, including capturing all booked and add-on procedures.
  • Ordering replacement instrumentation and refurbishing of damaged or missing instrumentation. Making recommendations to management for modification needs of future instrument orders based on analysis of past tray builds and usages.
  • Independently determining appropriate container size for instrument containers, assessing needs for custom-made instrument carriers, weighing and assembling instrument sets according to AAMI standards.
  • Assisting OR team leaders with open instrumentation projects, building instrument trays if needed for coverage, documenting manufacturer recommendations, and getting new trays into circulation. Identifying and suggesting cost-saving approaches to storage and purchasing of inventory.
  • Acting as a liaison between Surgical Services and the Sterile Processing Department, communicating clear messages between Surgical Services and SPD to prioritize needs and complete instrumentation projects.
  • Attending/conducting instrument tray optimization/reduction meetings.
  • Maintaining a well-organized instrument storage area, controlling and minimizing peel-pouched instrumentation.
  • Maintaining a database of instruments ordered for services provided.
  • Providing alternatives to instrumentation from different manufacturers.
  • Working with vendors to obtain quotes for custom instruments and education.
  • Creating, updating, and making recommendations for updates to count sheets based on user needs.
  • Maintaining inventory/supplies for instruments.
  • Assisting the leadership team with oversight of front-line staff as needed.
  • Performing QA audits on instrument trays (as needed).
  • Regularly auditing case carts for completion (if applicable).
  • Ordering other department supplies (as needed).
