About The Position

The Instrument Coordinator is responsible for managing new instrument sets, evaluating tray packaging and weight, acquiring and replacing instruments, and communicating with OR charge nurses and Sterile Processing Department management. This role involves preparing instrument refurbishing schedules, maintaining an organized workspace, accounting for released and received instrumentation, determining appropriate container sizes, controlling peel-pouched items, and resolving instrument-related issues. The coordinator also participates in daily schedule reviews, analyzes instrument usage through tracking reports, and influences decisions on preference card modifications and inventory orders.

Requirements

  • Bachelors degree or equivalent combination of experience in surgical service or sterile processing.
  • Three years of responsible Central Service, or Surgical Service operations experience.
  • Excellent organizational skills required.
  • Knowledge of medical terminology and Microsoft office is needed.
  • Knowledge of Surgical Instrumentation.
  • Excellent interpersonal and communication skills.
  • Must be Certified Registered Central Service Technician though IAHCSMM.
  • Qualified candidates must be able to effectively communicate with all levels of the organization.

Nice To Haves

  • Certified Instrument Specialist through Healthcare Sterile Processing Association (HSPA) preferred.
  • Comprehensive knowledge in inventory control, supply distribution, receiving, reprocessing techniques and principles, production management and regulating agencies standards.
  • Knowledge of instrument tracking software such as SPM.
  • Completion of formal central service technician education program, and/or a certification in materials resources.

Responsibilities

  • Assist OR team leaders with open instrumentation projects, building instrument trays if needed for coverage, documenting manufacturer recommendations, and getting new trays into circulation.
  • Identifies and suggest cost-saving approaches to storage and purchasing of inventory.
  • Independently assesses inventory and instrument needs to ensure it meets the needs of scheduled and last-minute OR needs.
  • Makes recommendations to updates to preference cards based on analysis of usage tracking reports.
  • Ensures preference card updates are completed by unit clerical staff as needed in EPIC.
  • Coordination of instrumentation needed for the following day with the OR schedule, capturing all booked and add-on procedures.
  • Acts as the liaison between SPD, and the Charge Nurses and Clinical Coordinators in the OR to assess the needs for instruments that must be turned over rapidly.
  • Reviews inventory and previous tray usage for justification for new OR cases.
  • Demonstrates an in-depth knowledge of available instruments in storage.
  • Responsible for ordering replacement instrumentation and refurbishing of damaged or missing instrumentation.
  • Makes recommendations to management of modification needs of future instrument orders based on analysis of past tray builds and usages.
  • Independently determines appropriate container size for instrument containers, assess needs for custom made instrument carriers, weigh and assemble instrument sets according to AAMI standards.
  • Order and maintain inventory of department and office supplies based on analysis of usage and preference cards.
  • Maintains a well-organized instrument storage area, controlling and minimizing peel-pouched instrumentation.
  • Act as liaison between Surgical Services and the Sterile Processing Department, communicating clear messages between Surgical Services and SPD to prioritize needs and complete instrumentation projects.
