About The Position

The Instructional Documentation Specialist and Facilitator is responsible for developing clear, concise learning materials and supporting facilitator‑led training sessions. This role blends strong instructional documentation skills with the ability to deliver engaging, interactive learning experiences. The ideal candidate understands foundational education and design principles and can create content that is visually clear, easy to follow, and practical for learners to apply. Success in this role requires excellent verbal and written communication skills, along with the ability to support effective learner engagement across Business Solutions initiatives.

Requirements

  • A University Degree and minimum 5 years prior relevant experience, or An Advanced Degree and minimum 3 years of experience.
  • 5+ years of experience gathering and synthesizing information from subject matter experts (SMEs) to write clear, concise step‑by‑step instructions, workflows, and user guides.
  • 5+ years of experience simplifying complex or technical information for non‑technical audiences.
  • 5+ years of experience with Microsoft Office tools, including advanced PowerPoint skills.

Nice To Haves

  • Experience using virtual training platforms (e.g., Zoom) and interactive tools (e.g., polls, chat, breakout groups).
  • Experience using, managing, and maintaining SharePoint sites.
  • Familiarity with screen‑capture tools (e.g., Snagit).
  • Ability to review learning data, assessments, and feedback (including MFA) to improve facilitation approaches.
  • Knowledge of facilitation techniques that encourages participation and improves knowledge retention.
  • Excellent grammar, editing, and proofreading skills.
  • Skilled in managing group dynamics and sustaining learner focus.
  • Comfortable answering questions in real time and providing supportive, clear guidance.
  • Ability to create and maintain a positive, inclusive, and welcoming learning environment.
  • Strong analytical, critical‑thinking, and problem‑solving abilities.

Responsibilities

  • Develop and maintain high‑quality instructional documentation that supports defined processes and business needs.
  • Ensure content meets established quality, accessibility, and branding standards.
  • Create and update materials such as Quick Guides, Process Guides, Workflows, Infographics, Facilitator Guides, assessments, activity sheets, and rubrics.
  • Audit existing documentation and update materials to reflect current processes, policies, and systems.
  • Implement updates promptly based on audit findings or process changes.
  • Collaborate with subject matter experts, project teams, and stakeholders to gather requirements and validate content accuracy.
  • Ask clarifying questions to ensure documentation is complete, accurate, and aligned with defined needs.
  • Facilitate onboarding and bi‑weekly training sessions, presenting content clearly and adapting to diverse learning styles.
  • Lead discussions and activities that reinforce skills, build confidence, and support learning objectives.
  • Maintain learner engagement by managing group dynamics and providing clear, accurate answers to questions.
  • Maintain the training calendar in coordination with the lead facilitator.
