INSTITUTIONAL PARTNERSHIPS COORDINATOR Steppenwolf Theatre Company is seeking applicants for the full-time position of Institutional Partnerships Coordinator. The Institutional Partnerships Coordinator is an essential part of the Development team as it secures support from corporate, foundation, and government entities. Reporting to the Associate Director of Institutional Partnerships, this role will steward existing corporate, foundation, and government funders and work to identify opportunities for new and increased support from local and national partners.

Requirements

  • Natural organization skills and keen attention to detail.
  • Experience with a customer database (Tessitura preferred) and MS Office; desire to self-learn new software features
  • Ability to balance multiple projects and deadlines and keep supervisors informed of progress
  • High degree of discretion and ability to provide outstanding customer service for VIP patrons
  • An interest in arts administration and desire to learn more about and support full-cycle fundraising in a non-profit setting
  • A high degree of initiative, confidence, and energy to achieve and exceed goals, meet deadlines, and manage multiple projects
  • Ability to attend occasional evening and weekend events
  • Steppenwolf gives preference to candidates who have demonstrable experience advocating for inclusion, diversity, equity, and access (IDEA).

Responsibilities

  • Writing Support the creation of clear and compelling institutional grants, reports, and sponsorship proposals:
  • Customize to meet institutions’ giving guidelines, hospitality, employee involvement, and recognition goals
  • Collect organizational information and data across teams
  • Create and implement informational materials including annual appeal templates for department use, proposal attachments, and season sponsor reports
  • Manage, communicate, and fulfill donor benefits with institutional partners:
  • Complete all institutional donor gift entry and acknowledgements
  • Collect, track, and archive all institutional logos for sponsor listings
  • Oversee all institutional recognition updates in the season program, lobby signage, programs, emails, and website
  • Serve as the first point of contact for Audience Services, Marketing, and Production teams to fulfill recognition, benefit, and complimentary and discounted ticketing needs
  • Drive engagement with institutional partners by promoting the full range of benefit offerings through proactive, personalized outreach
  • Maintain institutional and electronic files in our customer database Tessitura:
  • Update Tessitura records with donor contact information, organization updates, communications, goals, and deadlines
  • Process ticket exchanges and single ticket requests through effective coordination with the Audience Service department as assigned
  • Assist with all cultivation and stewardship events and prospecting performances in collaboration with other team members:
  • Manage invitation mailing and response tracking for institutional partners and prospects
  • Coordinate corporate special event logistics, and event attendee follow up
  • Provide additional support as needed, including assistance in staffing events
  • Lead prospect research for institutional partners as assigned:
  • Evaluate new trends in industry growth and change, identify opportunities, and conduct comparative research of other cultural institutions to maintain a strong prospect pipeline
  • Strategize new methods for prospecting, acquisition, and renewal for institutional relationships
