About The Position

The Institute Support Specialist oversees all operations of the Ballmer Institute Reception Desk, providing high-level customer service and general office support. This role serves as the first point-of-contact for the Ballmer Institute, interacting with faculty, staff, students, prospective students, community members, and legislators. The position involves administrative coordination, managing timelines, executing related tasks, and ensuring assignments are completed. Key duties include supporting institute leaders with scheduling and travel, managing the front desk area, and providing support for the Community Advisory Board.

Requirements

  • Two years of general clerical experience.
  • One year of which included typing, word processing, or other experience generating documents; OR An Associate's degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.
  • College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
  • Strong organizational and interpersonal skills.
  • Ability to work with limited supervision and manage time appropriately.
  • Ability to work well independently and also contribute as a team member.
  • Proficiency with the Microsoft Office suite required.
  • Familiarity with Canvas and website tools.

Nice To Haves

  • Experience working in a higher education setting, preferably in an academic support, administrative, or faculty services role.
