About The Position

The Inside Sales/Dispatch position at Sunstate Equipment Co. focuses on increasing revenue through new account acquisition, suggestive selling techniques, and fostering professional relationships. The role involves coordinating and delivering services to customers, processing orders for deliveries and pick-ups, and handling telephone inquiries that may include mechanical or operational troubleshooting with equipment. This position acts as a virtual link between customers, sales, dispatch, and management, ensuring quality solutions and service. The incumbent will work approximately 80% in the office and 20% in the Yard and will also cross-train as a Dispatcher.

Requirements

  • A minimum of 2 years experience is required working in customer service role, managing logistics, or coordinating activities
  • Must possess sales ability identifying customer needs through suggestive selling or upselling, and strong relationship-building skills
  • Be comfortable working with a team and independently, any task could go either way
  • Possess knowledge of the geographical layout of the local area, ability to read maps, and navigate GPS
  • Strong communication skills to include active listening and assimilating information; both verbal and written
  • Aptitude for problem-solving in a fast-paced environment
  • Exceptional organizational skills and effective time management
  • Technologically capable: Microsoft Suite knowledge
  • Ability to focus on details and complete tasks with accuracy
  • Adaptability to adjust priorities and plans based on orders received
  • Proficiency in basic computer and typing skills
  • Be capable of collaborating with other team members
  • Ability to read, write, and speak English

Nice To Haves

  • A minimum of 2 years Inside sales (direct customer contact) experience preferred
  • Computer Aided Dispatch (CAD), AS 400 highly preferred
  • Bilingual is a plus
  • Knowledge of applicable DOT rules, regulations and laws is a plus

Responsibilities

  • Answer and document all incoming telephone calls to assist customers with rental needs, including assisting customers, outside sales, vendors, Sunstate administrative personnel, and all other inquiries
  • Perform all routine rental transactions including creating rental reservations, scheduling the pickup of equipment, creating rental quotes, and may include processing all returned driver orders
  • Assist all walk-in customers, vendors, potential job applicants, or any other person that walks in the door in an upbeat and professional manner
  • Assist customers with selecting the appropriate type of equipment for their job to ensure customer satisfaction and safety
  • Communicate via two-way radio with the yard and shop relative to assisting customers in loading/unloading of equipment and communicating equipment needs for orders
  • Review the credit card rental file daily to ensure proper and accurate billing
  • Enter all lost rentals, rate inquiries, and service calls into the counter logbook
  • Review the open contract bin regularly to look for items that should be sold for rent, contracts that have already been closed and review the open credit card rentals file to ensure accuracy
  • Communicate any leads to the field sales personnel for their follow-up.
  • Efficiently schedule and dispatch drivers/equipment to fulfill customer requests
  • Ensure all scheduled delivery, pick up, exchange, and field service call times are met or exceeded
  • Effectively coordinate and prioritize all deliveries, exchanges, pick-ups, and service calls. This also includes ensuring all ‘Must Pick-ups’ are completed by the end of day
  • Set daily schedules for drivers to manage driver overtime and ensure drivers receive a lunch break
  • Escalate any truck or equipment problems, late deliveries, and personnel issues to management to ensure timely resolution
  • Communicate via two-way radio with the yard and shop relative to communicating equipment needs for orders
  • May be required to help load/unload and deliver equipment for the customers
  • May be scheduled and required to work extended hours and/or on-call/standby rotation
