About The Position

The Inpatient Surgical Liaison position in the Surgery Department will be primarily responsible for coordinating surgical family communication (in/outpatient, families, surgeons) and throughput, in addition to intermittent surgery scheduling, cancelling, and rescheduling appointments for all inpatient and outpatient procedures. This position is the scheduling HUB for scheduling surgeries at St. Joseph Warren Hospital and Howland Surgery Center. This is a mobile position requiring surveillance of ACC, PAT, Howland Surgery Center, Fastrack and Surgical Waiting room. This position is responsible for posting and reconciling charges daily.

Requirements

  • BLS Basic Life Support – American Heart Association (preferred, required after employment)
  • High School Diploma or GED (required)
  • 1 year of previous surgery scheduling experience (required)
  • Previous clerical experience with knowledge of medical surgical terminology (required)
  • Medical Terminology and general computer skills (required)
  • Experience posting and reconciling daily charges (required)

Responsibilities

  • Works primarily in the Family Waiting Room: Greets patient and family, demonstrates competency using smart call, snap board, EPIC, escorts family to surgeon consultation room, assist with other perioperative departments for patient throughput.
  • Escorts families to consult room.
  • Maintains hydration station in waiting room.
  • Troubleshoots the EPIC communication board in the family waiting room.
  • Distributes unique patient ID to family members to track patients' status during surgery.
  • Schedules, cancels, reschedules all inpatient and outpatient procedures.
  • Obtains and enters necessary booking information from person requesting surgical time.
  • Full knowledge of instrument and equipment limitations of department.
  • Allows adequate time for watch procedure according to physician's request.
  • Leaves enough time between cases to allow for room turnover.
  • Attempts to schedule similar types of cases in the same room to increase efficiency.
  • Communicates special equipment, instruments, and supply requests to appropriate person.
  • Communicates requests for x-rays to Radiology Tech and Radiology department.
  • Reviews and updates surgery schedule daily for all surgical procedures.
  • Refers conflicts to manager or director.
  • Follows established guidelines for scheduling the number of rooms on a given day.
  • Prepares and distributes surgery schedule.
  • Verifies all patient names, procedures, surgeons and times with registration.
  • Obtains all missing information for physician's offices as well as equipment needs, special requests and positioning.
  • Prepares and distributes final version of schedule for the following date to appropriate departments.
  • Communicates any changes affecting the next day's schedule to appropriate person and anesthesia department.
  • Notifies appropriate Team Leader/OR desk of any special case requests.
  • Obtains and faxes admission reports after cases are scheduled to PAT, Registration, and Pre-Certification.
  • Post and reconcile charges daily.
  • Daily communication and collaboration with surgical navigator, OR team, vendors, Ensemble to ensure accurate and detailed information for daily charges specific to each individual surgical procedure.
  • Analysis and verification of surgical equipment, pricing, and details of surgical procedures for posting charges.
  • Assisting with running reports for block utilization and block times for surgeons.
  • Answers telephones and communicates messages to appropriate people.
  • Provides clerical support anywhere within surgery area.
  • Communication with anesthesia, surgeons, surgeon offices, and vendors to coordinate needs for surgical patients.
  • Verifies credentialing for vendors.
  • Orders supplies for department.
