About The Position

The Industrial Administrator uses strong customer service skills, technical product knowledge, and customer relationship management to support industrial customers and help maintain profitability. This position is responsible for responding to customer inquiries, creating accurate quotes and bid documents, assessing product availability, supporting special orders, maintaining accurate records, and helping convert opportunities into sales orders. The role requires timely communication, attention to detail, coordination with internal teams, and a commitment to providing a high level of customer service. Requirements

  • High School diploma or equivalent
  • 2+ years of experience in customer service, inside sales, industrial distribution, order entry, and/ or related experience
  • Ability to understand or learn industrial plumbing products, customer applications, equipment requirements, and basic technical specifications
  • Strong customer-focused mindset
  • Strong communication skills with the ability to build and maintain positive customer relationships, as well as the inclination to follow up on pending orders
  • Strong attention to detail and ability to maintain accurate records and documentation
  • Ability to prioritize multiple requests, meet deadlines, and respond quickly to changing customer needs
  • Comfortable working with internal teams, vendors, and customers to resolve order, pricing, shipping, and product questions
  • Basic computer skills and ability to use company systems for quotes, orders, inventory, and customer records
  • Ability to solve problems independently as needed

Nice To Haves

  • Prior plumbing and heating industry sales experience preferred but not required

Responsibilities

  • Analyze customer needs, assess product availability, research special-order requirements, and prepare accurate price quotes and bid documents.
  • Advise customers on project, equipment, product, and application requirements.
  • Respond to customer inquiries in a timely and professional manner, providing additional information and follow-up as needed.
  • Evaluate potential risk factors and escalate concerns to management when appropriate.
  • Ensure all quotes, orders, bids, and related documents are prepared, processed, and maintained accurately and in accordance with project timelines.
  • Review and work open orders daily, including staged and shipped orders.
  • Help keep customer projects on schedule by coordinating procurement, delivery, and communication of shipping dates or changes.
  • Create quotes on a regular basis and follow up with customers to support order conversion.
  • Maintain accurate customer, quote, order, and product information in company systems.
  • Partner with sales, purchasing, warehouse, vendors, and management to resolve customer needs and order issues.
  • Additional duties as assigned by Supervisor
