About The Position

The Inclusive Programs Specialist provides operational, administrative, and logistical support for The Center's Inclusive Programs and Community Boutique initiatives. This position plays a key role in ensuring the successful implementation of community programs, events, outreach efforts, and resource services that support LGBTQIA+ adults, with a particular focus on transgender, gender-diverse, and culturally diverse communities. The Specialist supports the Inclusive Programs Manager through program coordination, event logistics, participant engagement, data collection, and administrative functions. The position also supports the Community Boutique Manager with Switch Closet operations, volunteer support, donation processing, and community resource distribution. This role serves as a bridge between programming and direct community services, helping ensure both areas operate efficiently and effectively.

Requirements

  • Associate degree or equivalent experience preferred.
  • Experience working in community programs, nonprofit organizations, customer service, retail, or related environments.
  • Experience coordinating events, volunteers, inventory systems, or administrative processes preferred.
  • Familiarity with LGBTQIA+ communities and inclusive practices preferred.
  • Strong organizational and time management skills.
  • Excellent attention to detail and follow-through.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Comfort working with diverse populations in an affirming, trauma-informed manner.
  • Ability to work independently while collaborating effectively with multiple staff members.
  • Proficiency with Microsoft Office Suite, Google Workspace, spreadsheets, databases, and scheduling systems.
  • Commitment to racial, gender, and economic justice.
  • Ability to lift up to 25 pounds and assist with moving donations, supplies, and event materials.
  • Flexibility to work occasional evenings and weekends.

Responsibilities

  • Maintain program calendars, schedules, and activity timelines.
  • Manage participant registrations and RSVP tracking.
  • Maintain participant databases and program records.
  • Track attendance and demographic information for programs and events.
  • Coordinate room reservations, meeting logistics, and resource scheduling.
  • Prepare program materials, handouts, supplies, and participant packets.
  • Assist with purchasing requests and supply management.
  • Support implementation of groups, workshops, and special projects.
  • Maintain organized program files and documentation.
  • Assist with planning and coordinating workshops, support groups, community events, and special initiatives.
  • Coordinate event logistics, including setup, breakdown, hospitality, and supply preparation.
  • Support facilitators, presenters, volunteers, and participants during events.
  • Manage registration and participant check-in processes.
  • Assist with outreach activities, community events, and resource fairs.
  • Help recruit and engage participants for programs and events.
  • Provide evening and weekend event support as needed.
  • Respond to routine participant inquiries and requests for information.
  • Send program reminders, confirmations, and follow-up communications.
  • Maintain participant mailing lists and communication records.
  • Assist with outreach efforts to increase participation and engagement.
  • Support the development and distribution of program announcements and promotional materials.
  • Help connect participants with relevant community resources and services.
  • Maintain accurate attendance, participation, and program activity records.
  • Compile program statistics and data summaries.
  • Assist with participant surveys and evaluation activities.
  • Support grant reporting and outcome tracking efforts.
  • Maintain organized documentation to support reporting requirements.
  • Assist with collecting participant stories, testimonials, and other impact data.
  • Assist the Community Boutique Manager with daily Switch Closet operations.
  • Process, sort, organize, and maintain clothing and accessory donations.
  • Support inventory tracking and organization of boutique spaces.
  • Help maintain a welcoming, affirming, and organized environment for community members.
  • Assist community members accessing the Switch Closet through appointments and resource services.
  • Support volunteer activities within the boutique and resource distribution programs.
  • Assist with donation drives, special shopping events, and community resource initiatives.
  • Help prepare and organize displays, storage areas, and inventory systems.
  • Maintain accurate records related to donations, inventory, and closet utilization.
  • Provide operational support and coverage for the Switch Closet as assigned.
  • Participate in team meetings, trainings, and planning sessions.
  • Collaborate with staff across departments to support organizational goals.
  • Assist with special projects and cross-departmental initiatives as assigned.
  • Represent The Center professionally and positively in all interactions.
