About The Position

This position provides back-up assistance when the Senior In-Processing Coordinator is Out-of-the-Office (OOTO). It involves training new hires on In-Processing functions, acting as an ePRF administrator (electronic personal requirements form application), and being trained in the In-Processing back-up function of Form 26471 R15 in case of ePRF failure. The role will also involve in-processing 1,400 supplemental employees in preparation for R25, handling confidential information of all supplemental employees, assigning training qualifications, setting up medical appointments, assembling welcome packets, and facilitating flow at all In-processing buildings (184, 186, 356). Additionally, the position requires attending all High Impact Team meetings and ordering office supplies.

Requirements

  • Knowledge of or ability to learn company policies as well as applicable state and federal laws.
  • Requires knowledge which demonstrates capability of evaluating organizational, personal and technical in-processing procedures, schedules and performance.
  • High school diploma or GED.
  • 10 years of experience in administrative role related to project planning, scheduling, and holding confidential information.

Responsibilities

  • Train all other new hires on In-Processing functions.

  • Handle confidential information of all supplemental employees.
  • Assign training qualifications.
  • Set up medical appointments.
  • Assemble welcome packets.
  • Facilitate flow at all In-processing buildings (184,186,356).
  • Attend all High Impact Team meetings.
  • Order office supplies.
  • Operate and monitor the plant, making operating adjustments including initiating startup or shutdown action as appropriate.
  • Coordinate and provide daily direction to maintenance technicians.
  • Develop and maintain on call schedules.
  • Play a major role in outage planning and implementation.
  • Act as the point of contact for vendors, owner's representatives and for Client supervision.
  • Perform all outage and routine plant maintenance tasks, troubleshoot systems utilizing blueprints, electrical diagrams and hardware component manuals.
  • Operate pickup trucks, fork lifts and perform rigging operations as assigned in a safe manner.
  • Conduct preventative maintenance as scheduled, and perform tasks such as simple metal work, carpentry, support equipment repair/servicing and other similar needs of this remote job site.
  • Collect operational data and produce routine reports.
  • Perform tasks in accordance with all applicable policies and procedures.
  • Other tasks as assigned.
