Requirements

  • Immigration legal experience required - law firm, legal admin, paralegal, or similar role within an immigration practice.
  • Self-motivated - able to drive own priorities and tasks with minimal supervision.
  • Comfortable with high-volume, hands-on, manual work.
  • Sharp attention to detail — able to catch missing documents and errors before they become a problem.
  • Strong organizational skills, able to juggle multiple packets and deadlines at once without losing track of details.
  • Clear, professional communicator over the phone and in writing — comfortable being the direct point of contact for clients.

Responsibilities

  • Draft legal documents, including immigration forms and supporting documentation for filings, along with client correspondence.
  • Assemble immigration petition and application packets, ensuring all required forms, supporting documents, and exhibits are accurate, complete, and correctly organized before submission.
  • Call and correspond with clients directly to request missing documents, confirm receipt, answer routine questions, and provide status updates.
  • Track packet status and deadlines, flagging missing information or documents needed from clients or attorneys.
  • Process incoming and outgoing mail for the immigration practice, including sorting, logging, and routing time-sensitive correspondence, notices, and filings.
  • Maintain organized physical and digital case files, including scanning, filing, and data entry of client documents.
  • Coordinate with attorneys and legal staff to confirm packet requirements and ensure timely, accurate submission.
  • Handle sensitive client documents (passports, identification, immigration records, medical records) with care, accuracy, and confidentiality.
