About The Position

The Imaging & Referral Coordinator refers patients to external facilities for various ordered services/tests based on insurance, patient preference, physician preference, and/or location. This role involves updating and confirming patient demographic information and insurance eligibility, including coordination of benefits. The coordinator successfully processes orders and outside referrals, contacts patients to schedule appointments, and imports documents to the patient’s chart. They provide ongoing communication with patients regarding authorization, financial counseling, and scheduling, and respond to patient questions and complaints, resolving problems to maintain high patient satisfaction levels. Additionally, the role involves communicating clinical instructions, answering and resolving incoming calls and requests accurately, triaging messages, updating patient information in the practice management system and EMR, documenting work completed, ensuring canceled appointments are handled appropriately, and maintaining strict confidentiality of all health records and member information in accordance with HIPAA guidelines. Other duties as assigned.

Requirements

  • A minimum of two years of experience in the healthcare field is required.
  • Excellent organizational skills and strong customer service orientation are required.
  • Strong background in computers and data entry.
  • Knowledge of scheduling and billing methods and policies regarding productivity/workload analysis and scheduling procedures.

  • Previous scheduling or referral experience is preferred.

Responsibilities

  • Refers patients to external facilities for various ordered services/tests based on insurance, patient preference, physician preference, and/or location.
  • Updates and confirms patient demographic information and insurance eligibility including coordination of benefits.
  • Processes orders and outside referrals, contacts patients to schedule appointments, and imports documents to the patient’s chart.
  • Provides ongoing communication with the patient(s) regarding authorization, financial counseling, and scheduling.
  • Responds to patient questions and complaints as required, resolving problems and maintaining high patient satisfaction levels.
  • Communicates clinical instructions needed for appointments/procedures.
  • Answers and resolves incoming calls and requests in a timely, accurate manner.
  • Tries and relays necessary messages to appropriate staff members.
  • Accurately updates patient information in the practice management system and EMR.
  • Performs all required documentation of work completed.
  • Ensures that canceled appointments and related ancillary appointments are canceled and communicated to all stakeholders.
  • Ensures strict confidentiality of all health records, member information, and meets HIPAA guidelines.
  • Performs other duties as assigned.
