Requirements

  • High School graduate or equivalent.
  • Customer service abilities including effective listening skills.
  • Critical thinking skills, decisive judgement, and the ability to work with minimal supervision in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.

Nice To Haves

  • Current Certification in Basic Life Support preferred but not required.

Responsibilities

  • Provide support to all of Tennessee Oncology’s Clinics and Imaging Centers to facilitate imaging records requests.
  • Fulfill imaging records requests for the entirety of Tennessee Oncology and external referring offices, ranging from sending discs via courier or FedEx/UPS to external offices, to electronically pushing images to outside institutions.
  • Locate and retrieve outside scans and their reports for comparison purposes on all of Tennessee Oncology’s imaging patients, including patients scheduled from external physician offices.
  • Place reminder calls to all scheduled imaging patients concerning appointment times and scan preparation.
  • Locate prior scans using information provided in scheduling notes, EMR, and/or from patients directly.
  • Document findings in RIS.
  • Retrieve prior scans using the proper procedure for each facility.
  • Arrange for courier pick-up using proper documentation. Scans should be at the Imaging Center the day before the patient’s appointment whenever possible.
  • Document in RIS when prior scans are loaded to PACS.
  • Return outside scans if necessary, using proper procedure and documentation either by courier, UPS, or FedEx.
  • Make reminder calls to patients concerning appointment time and prep instructions 2 days prior to appointment whenever possible. Leave instructions on answering machine or voicemail if necessary.
  • Document in RIS appropriately.
  • Load data and submit for SMS messages to patients reminding them of their appointment.
  • Handle requests from Radiologist as needed.
  • Provide electronic image pushes or burn discs for outside facilities and patient requests.
  • Assist technologists with patient care when needed.
  • Perform all duties in accordance with Tennessee Oncology Policies and Procedures Manual and supplemental procedure established for its Imaging Centers.
  • Provide feedback to management regarding possible areas of concern or improvement.
  • Strive to maintain a positive work environment for physicians, patients, and staff.
  • Demonstrate excellent customer service skills and respond promptly to requests.
  • Communicate issues, needs, or any other staff/clinic information directly with the Imaging Records Representatives Manager.
  • Assume responsibility for personal and professional growth.
  • Maintain a professional attitude toward other employees conducting his/herself in a professional manner.
  • Other duties as assigned.
