About The Position

The Imaging Office Specialist oversees the non-clinical support duties for all department services. This would involve the pre, current, and post activity that is involved with imaging department operations.

Requirements

  • High school graduate with some college
  • Excellent communication and data input skills
  • Spanish speaking helpful
  • Insurance benefit and medical terminology experience is helpful.
  • Must know and show proficiency in the following programs; Signature Gold, Quadris, Synapse, PenRad Invision, Imnet, Elmer, and Microsoft Outlook

Responsibilities

  • Schedules all procedures for patients requiring Imaging Services.
  • Obtains proper authorization from physicians' office if the physician office has been given this from insurance payer.
  • Works with physicians' office to ensure correct diagnosis codes are obtained for exam.
  • Greets all patients and has the patient sign in.
  • Obtains any necessary release signatures for any Imaged Records.
  • Assures that documents are appropriately identified to be scanned into IMNET.
  • Obtains copies of original films and develops using an automatic processor.
  • Chooses and sends appropriate digital images from Synapse to the laser printer.
  • Accurately prepares/compiles x-ray reports and or copies of films requested for hospital staff, physicians, patients and outside sources.
  • Compiles film for pick up, mail/UPS/Federal Express or courier as requested.
  • Maintains/updates current status log book for records associated with litigation, attorneys, workers' compensation, court subpoenas, insurance companies, tumor board cases and clinic cases.
  • Modifies orders and cancels exams appropriately, including documenting reasons in Radiology information system.
  • Notifies nursing upon rescheduling, or canceling exam.
  • Pulls old records from archives as necessary to combine with current studies.
  • Assists physicians in obtaining images from Synapse.
  • Prints and faxes reports to physician's office as needed.
  • May read report to physician as needed.
  • Should have an understanding of Medicare coding, diagnosis codes, CPT codes to assure proper billing and use of ABN in order to provide as necessary to patient.
  • Must know and show proficiency in the following programs; Signature Gold, Quadris, Synapse, PenRad Invision, Imnet, Elmer, and Microsoft Outlook
  • Informs patient when possible of necessary requirements, financial obligations, financial discounts and, pertinent information regarding their exam.
  • Works closely with Financial Counselors to evaluate patient's financial needs, making appropriate determinations and referral to appropriate agencies for assistance to ensure reimbursement to the Kaweah Health.
  • Properly identifies correct patient, correct exam, and correct physician to ensure exam accuracy and patient confidentiality before providing Imaging Services to patient.
  • Answers department phones, timely, and professionally.
  • Assists customers timely with Radiology and Imaging Services concerns.
  • Routes call as appropriate to other staff or location.
  • Ends conversations with, “Is there anything else I can do for you?”
  • Knowledgeable of patient transfer policies for patients transferring from another facility for Imaging studies.
  • Obtains contact information for patients brought by ambulance or other transportation.
  • Communicates add on exams to specific areas, including patient access and front desk.
  • May be assigned to distribute all Imaging schedules to patient access for the following days procedures.
  • Collects payments and disperses receipts for copies or prints of images for the patient or litigation.
  • Reviews exams and determines necessity to change from an inpatient order to an out patient order.
  • Pulls previous films or obtains prior images from other facilities for following days procedures.
  • Has all pertinent images, reports, and paperwork needed, ready for the next days scheduled patients.
  • Accesses patient history from Poseidon and places with Radiology order for technologist and radiologist.
  • Responsible for maintaining and processing Quadris orders and reports if needed for Imaging department patients.
  • Responsible for collection of patient chart information, labs, proper reason for exam, and patient history.
  • Original medical record and information to physicians, technologists, and clinics will be accurate and complete.
  • Responsible for daily maintenance of patients' radiology jackets following the legal requirements of Title 22 and Joint Commission.
  • Complies with state laws concerning storing patient files. This is accomplished via radiology jacket audit completed yearly.
  • Responsible for the proper processing of, urgent care, pre-op, and out patient xray orders.
  • Assures all orders are placed properly and faxed to appropriate area for radiologist reading.
  • Verifies proper physicians order, reason for exam, diagnosis and CPT codes for each exam.
  • Follows up on authorization obtained from physicians' office, for every patient whose insurance company requires it.
  • Enters into scheduling patient database, actual insurance benefits, reference number from review, company, name of contact person, and phone number.
  • Assists all departments with any matters concerning patient's insurance coverage or lack of or obtaining authorization for correct procedure.
  • Obtains retro authorization for any adjusted studies.
  • Must be accountable for proper scheduling of patient, obtaining authorizations when necessary, and checking medical necessity for medicare patients.

  • Facilitates cash pay patients with appropriate contact when financial assistance is desired.
  • Introduces patient to appropriate Kaweah Health staff if patient is in need of payment plan.
  • Is productive during slow times.
  • Provides support for various areas within Imaging services as needed.
  • Ensures that all efforts provide value to and meet the needs of departmental customers.
  • Demonstrates the knowledge and skills necessary to provide care and services appropriate to the population served on the assigned unit or work area.
  • Performs other duties as assigned.
