About The Position

Under the direction of the Director & Deputy director of the Internal Audit and Control division; this deputy clerk is responsible for the accurate and timely processing of all court records that are filed with the Criminal/Traffic & Civil Division. This Deputy Clerk will provide information to the public, law enforcement personnel, attorneys, and all court personnel, concerning court records, bail information, fine schedule amounts, and fine and cost information. In addition, is responsible for organizing and filing various court records. This Deputy Clerk is responsible for accurate and timely initiation and modification of criminal and traffic cases on CourtView.

Requirements

  • Ability to lift 25-50 lbs, move boxes filled with case files
  • Require use of high speed scanning equipment
  • Must also learn to clean and maintain scanners
  • Some computer experience necessary
  • Court-view case management system, & OnBase imaging software are used daily
  • Good attendance and punctuality are a requirement
  • Each Tuesday is shredding day, bin pickup, staff must report to work by 6:45 am.
  • Must be able to transfer full bins within floors and to meet the shredding truck for bin pickup

Responsibilities

  • Works closely with management in several division to coordinate the movement of closed case files from the division to storage
  • Security for all files removed from the division file room is the responsibility of the Imaging group
  • Case files are prepared for scanning; paper clips, staples are removed by the Imaging clerk
  • Case number identification is created using OnBase and Courtview case management systems and application
  • Use of high speed scanning equipment, all paperwork in each case file is scanned to the corresponding case docket in the Courtview case management system
  • Paperwork in case files is disposed in recycle containers and are ready for shredding
  • All recycle bins are emptied once a week and imaging clerks are responsible for the movement of bins to the loading dock where the recycling truck is located
  • Quality and accuracy are essential because Imaging Clerks create the permanent record of items contained within the case file
