About The Position

Chatham University invites applications for the position of IM4Q Program Assistant within the Independent Monitoring for Quality (IM4Q) Program. This is a part-time remote position that offers flexible scheduling and is ideally suited for individuals who can commit to working 20-25 part-time hours until end of December (with the opportunity to continue based on program funding). The IM4Q Program is a statewide initiative supported by the Pennsylvania Office of Developmental Programs (ODP), aimed at enhancing the quality of life for individuals with intellectual and developmental disabilities (IDD). As a Program Coordinator, you will play a vital role in scheduling and overseeing monitoring interviews, ensuring data quality, and mentoring monitoring teams that assess the satisfaction and everyday life outcomes of individuals with IDD residing in Allegheny, Beaver, Greene, and Washington counties.

Requirements

  • High school diploma required; two years of post-secondary education preferred.
  • Prior experience in program coordination, scheduling, data management, or a related field preferred.
  • Proficiency with Microsoft Office 365 (Word, Excel, Outlook, Teams), Zoom, Dropbox, and other web-based tools.
  • Reliable internet access and a personal computer.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal, listening, and observational skills.
  • Ability to lead, train, and mentor a team of monitors.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with a diverse range of individuals.

  • Reliable transportation for travel to interviews, meetings, and outreach events if on site is needed.

Responsibilities

  • Arranging Interviews and Preparation for Monitoring
  • Reviewing pre-surveys for necessary demographic information, concerns, and needs.
  • When applicable, obtaining consent from guardians.
  • When applicable, securing ASL or non-English language interpreters.
  • Scheduling all interviews (IM4Q, START, and QAI) according to program timelines in their designated area.
  • Creating proper team compositions and scheduling monitors.
  • Arranging Zoom links for each virtual interview.
  • Problem-solving obstacles to scheduled interviews.
  • Performing duties as a lead monitor as necessary.
  • Database Management and Quality Assurance
  • Reviewing pre-surveys, samples, and all necessary documentation tools prior to scheduling.
  • Reviewing completed surveys for accuracy and completion; when complete and accurate, processing them into the required documentation/database systems; if incomplete or needing further verification, following up with monitoring teams to ensure compliance.
  • Generating and submitting monthly monitoring reports for their designated area.
  • Reviewing considerations, major concerns, and signs of quality.
  • Processing “closing the loop” requirements and completing external evaluations for their designated county.
  • Reviewing and reporting feedback on monitoring to the Program Manager.
  • Assisting the Program Manager in verifying the accuracy of reports.
  • Oversight and Mentoring of Monitors
  • Assisting the Program Director in training monitors in specific areas as needed.
  • Serving as a first-line resource for monitoring teams.
  • Making recommendations on recruitment, hiring, and additional training of monitors.
  • Verifying timesheets of monitors/monitoring teams prior to processing.
  • Outreach and Communication
  • Ensuring transparent and professional-level communication among IM4Q personnel and Chatham entities.
  • Participating in all county- and state-related meetings and training.
  • Participating in local outreach with AEs.
  • When requested, participate in Advisory Board activities.
  • Ensuring the highest level of accountability and integrity in all assigned duties.
  • Maintaining proficiency and committing to ongoing learning and self-improvement.
  • Executing short-term duties assigned by the Program Director.
