About The Position

The IEP Coordinator supports Elevated Education’s Special Education department by serving as the primary writer of Individualized Education Programs (IEPs) and attending all IEP meetings. This person works closely with the Vice President of Student Services to ensure IEPs are individualized, accurate, completed on time, and clearly communicate the services and supports each student needs. The Coordinator gathers information from teachers, service providers, families, and students; prepares IEP drafts; documents team decisions; and completes meeting follow-up. This role takes primary responsibility for the IEP writing and coordination process so special education teachers can remain focused on delivering services, monitoring progress, and supporting students.

Requirements

  • Bachelor’s degree in special education, education, or a related field.
  • Valid Arizona special education teaching certification and fingerprint clearance card.
  • Demonstrated experience writing complete IEPs and participating in IEP meetings.
  • Strong working knowledge of special education requirements, IEP development, measurable goal writing, accommodations, transition planning, and documentation practices.
  • Excellent writing, organization, follow-through, and communication skills, including the ability to manage multiple deadlines and obtain information from several contributors.
  • Proficiency with special education documentation systems and standard office software.

  • Experience supporting secondary students, alternative education, or dropout recovery programs is preferred.

Responsibilities

  • Serve as the primary writer of initial IEPs, annual updates, and amendments, incorporating current evaluations, academic information, progress data, and input from the student’s team.
  • Develop clear, individualized present levels, measurable goals, accommodations, service descriptions, and transition plans, as applicable, in collaboration with teachers and service providers.
  • Prepare drafts for team review before meetings, identify missing or inconsistent information, and make revisions based on team discussion and decisions. Ensure final IEPs reflect the student’s needs rather than relying on generic or copied language.
  • Attend all IEP meetings and be prepared to explain the draft, capture input, document decisions, and identify any information or action still needed.
  • Coordinate with staff and families on scheduling, participation, meeting notices, and supporting documents. Help keep meetings organized, productive, and focused on the student.
  • Finalize documents following meetings, complete required follow-up, and ensure families and appropriate staff receive the finalized information. Track unresolved items until they are addressed.
  • Maintain an organized tracking system for IEP due dates, meeting schedules, amendments, and related evaluation timelines. Communicate upcoming deadlines early and follow up when information is missing.
  • Review IEPs and supporting records for accuracy, completeness, and consistency with applicable requirements and department expectations. Maintain current records in the designated special education system.
  • Support file reviews, audits, and corrective actions under the direction of the Vice President of Student Services. Identify concerns promptly and help resolve documentation or process issues before they become larger problems.
  • Work closely with the Vice President of Student Services to establish priorities, review complex student situations, and maintain consistent IEP practices across the schools and programs Elevated Education supports.
  • Provide regular updates on upcoming meetings, outstanding documents, approaching deadlines, and concerns requiring leadership attention.
  • Help improve IEP templates, writing quality, tracking systems, and communication processes. Apply feedback and support changes that strengthen the department’s accuracy and reliability.
  • Gather timely input from special education teachers, general education teachers, related service providers, school leaders, families, and students.
  • Ensure the staff responsible for implementing an IEP receive clear information about the finalized goals, accommodations, services, and their responsibilities.
  • Bring implementation concerns or requests for clarification to the appropriate staff and the Vice President of Student Services. Handle student information confidentially and maintain professional, respectful communication with families and team members.
