This Executive Assistant opportunity is based in Galvanize’s New York office, supporting a co-head of the firm’s flagship venture and growth capital fund. A typical week may involve scheduling meetings, managing travel arrangements, preparing meeting prep, supporting team staffing efforts, and tracking meetings with potential founders or investors. Requirements

  • High school diploma or general education degree (GED)
  • Prior experience managing calendars and travel for multiple executives, ideally within an investment firm; event planning experience is a plus
  • Strong customer service orientation, specifically, working "above and beyond" to creatively problem solve and provide concierge-like service
  • Proficiency in Microsoft Office.
  • Ability to work independently, demonstrate initiative, and take ownership
  • Must be highly organized, yet flexible with a willingness to change priorities quickly
  • Exceptional attention to detail
  • Excellent discretion, judgment, and tact; be an excellent ambassador to the public, external partners, and stakeholders
  • Proactively anticipate needs and cultivate solutions
  • Have a sense of humor and patience
  • An ability to “read the room” and deploy a specific verbal communication style as warranted (e.g., direct and brief for certain persons, social or thoughtful for other persons)

Responsibilities

  • Draft communications regarding I+E team-specific policies (expense, travel, vacation, etc)
  • Build and maintain the team’s staffing spreadsheet by gathering and inputting data from relevant team members on a weekly basis
  • Draft meeting agendas for internal and external meetings
  • Prepare briefing memos where needed
  • Organize and plan team/firm events, manage invitation list, design and distribute invites and manage communications to attendees
  • Track meetings and interactions with potential founders and limited partners (investors)
  • Represent Galvanize with the highest degree of professionalism and enthusiasm for their mission when liaising with external parties. This includes conversational interactions, written correspondence, and in-person meetings that may require greeting guests.
  • Maintain calendar, book and manage travel, and handle scheduling requests for two senior investment leaders
  • Build detailed work-related travel itineraries for the two senior investment leaders, arranging for all travel and accommodations
  • Submit monthly expense reports on a timely and accurate basis on behalf of supported executives
