We are currently searching for an organized, highly motivated Warranty Coordinator to process various HVAC warranty claims for multiple vendors. The National Sales Operations is seeking the right person to fill the need for a Warranty Coordinator. Our team supports HVAC warranties for all major equipment vendors and other supporting lines. The ideal candidate possesses a solid operational background and works proactively to deliver results. This person is a self-starter, flexible, has an elevated level of integrity, and is action-oriented and goal-oriented in a fast-paced, team-oriented, collaborative environment. This role is approved to be fully remote and can be based anywhere in the United States.

Requirements

  • Ability to perform repetitive tasks with a high degree of accuracy
  • Solid computer skills including MS Office
  • Excellent interpersonal & communication skills
  • Must be able to handle multiple vendor lines and their requirements and follow SOP’s
  • Comfortable dealing with internal associates, external customers, and vendors
  • Must be able to work independently

Responsibilities

  • Submitting eligible claims on various vendor portals & adhering to vendor rules, timelines & requirements
  • Issuing customer credit memos in Trilogie
  • Issuing debits as needed
  • Achieve the required submission goal daily/monthly
  • Researching/resolving any claim related issues
  • Daily communication with internal branch associates, external customers, and vendors
  • Detailed tracking of approved and denied claims
  • Assisting branches/customers with part returns
  • Reconciliation of vendor payments, customer credits, discrepancies
  • Participate in group Teams calls periodically
  • Participate in Bi-Annual audit reconciliations
  • Assist on special projects
  • Work overtime as needed during peak season
