About The Position

Hobbs & Associates, a member of the AIR Control Concepts family, specializes in providing heating, ventilation, and air conditioning (HVAC) products and engineering services to commercial and industrial building contractors, architectural design firms, and business owners. Our collaborative approach helps bring lasting community infrastructure to life, including schools, universities, hospitals, military and municipal buildings, entertainment venues, hotels, and multi-family residences.

Requirements

  • Work experience as a Project Manager, Service Coordinator or similar role preferred
  • Knowledge of project management software (e.g. Trello or Microsoft Project)
  • Strong communication and customer service skills with a professional, team focused mindset.
  • Solid organization and time-management skills

Responsibilities

  • Coordinate project activities, including simple tasks and larger plans.
  • Manage schedules, arrange assignments, and communicate progress to all team members.
  • Prepare action plans, analyze risks and opportunities, and gather necessary resources.
  • Manage service quotes and projects from proposal to fulfillment.
  • Coordinate with accounting for billing.
  • Communicate clearly and effectively with customers, coworkers, and supervisors, both in person and electronically.
  • Review work for accuracy and make necessary adjustments.
  • Break projects into doable tasks and set timeframes and goals.
  • Create and update workflows.
  • Conduct risk analysis.
  • Schedule regular meetings and record decisions (e.g., assigned tasks and next steps).
  • Prepare and provide documentation to internal teams.
  • Retrieve necessary information (e.g., user/client requirements and relevant case studies).
  • Track project expenses.
  • Monitor project progress and address potential issues.
  • Coordinate quality controls to ensure deliverables meet requirements.
  • Measure and report on project performance.
  • Act as the point of contact for all participants.
  • Build and maintain strong client relationships by addressing service concerns, recommending improvements, and delivering high-quality communication and support.
  • Coordinate with internal teams to ensure efficient scheduling and follow-up.
  • Contribute to the team and company by stepping in where needed.
