About The Position

We are looking for a Service Dispatcher who enjoys solving problems, coordinating people, and keeping things on track. This role involves coordinating the day-to-day operations of a busy service department, supporting technicians, handling parts and purchase orders, and ensuring excellent customer service.

Nice To Haves

  • Experience with Jonas Software is a plus.
  • Previous experience in dispatching, service coordination, HVAC, plumbing, mechanical contracting, construction, facilities maintenance, or another field-service environment is preferred.
  • Understanding that good dispatching is about both people and details—taking care of the customer while giving technicians/team the support they need to succeed.

Responsibilities

  • Receive, prioritize, and schedule service calls.
  • Coordinate after-hours/on-call assignments.
  • Keep service-call information accurate and up to date in Jonas Software.
  • Make sure technicians have the correct job information before heading to a call.
  • Help technicians locate parts, information, and solutions when needed.
  • Provide accurate job and PO numbers for proper billing, payroll, and documentation.
  • Source parts and prepare accurate service and repair quotes.
  • Create and maintain purchase orders in Jonas.
  • Provide technicians with PO numbers and parts information.
  • Answer incoming service calls professionally.
  • Keep customers informed about scheduling and the progress of their jobs.
  • Communicate closely with technicians, management, vendors, and customers.
  • Provide backup support to other department administrative positions.
  • Assist the Branch Operations Manager as needed.
  • Look for ways to improve processes and make the service department more efficient.
