The HVAC Service Dispatcher will be responsible for maintaining service priorities and job turnaround within guidelines, dispatching work orders during business hours for assigned districts, and upholding service standards for Schedule Adherence, NTE Management, IVR Compliance, Client Forms, and Work Order Resolution. This role involves communicating job progress with Account Managers, advising them on scheduling delays, and collaborating with the Service Manager to coordinate proper technician assignments for quoted repairs. The dispatcher will also be involved in Preventative Maintenance planning to achieve scheduling requirements and ensure timely and accurate delivery of information from the field, including confirmation, completion notes to clients, and KPI data for technicians in the system. Additionally, the dispatcher will work with Service and Account Managers to schedule approved quoted repairs and equipment replacements within specified timeframes, coordinate larger quoted work involving rental equipment or crane rentals, and schedule vendor meetings. The role requires entering detailed notes on scheduling and logistics, following up on all return statuses, and working with Account Managers to keep jobs moving, maintaining detailed notes on all follow-up efforts. The dispatcher will also assist the Service Manager with special requests involving technician needs for permits, truck repairs, or other non-standard job requirements. A key aspect of the role is monitoring technician time on jobs, following up with the Service Manager if jobs are taking too long, and assessing the overall workload to determine manpower needs for overtime and weekend work. The dispatcher will also issue POs to techs in the assigned area.
