About The Position

Topline Heating & Air is seeking a highly organized and detail-oriented Permit Coordinator to join our growing team. This role is critical to ensuring our residential HVAC installation projects move smoothly from sale to completion by managing permits, inspections, and regulatory compliance. Requirements

  • High school diploma or equivalent required.
  • Minimum of 2 years of experience in administrative support, permitting, construction, or the HVAC industry preferred.
  • Knowledge of residential construction or building permit processes is highly desirable.
  • Strong organizational and time management skills.
  • Excellent communication and customer service abilities.
  • Proficiency with Microsoft Office (Excel, Outlook, and Word).
  • Ability to manage multiple projects and meet deadlines in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Self-motivated with the ability to work independently while collaborating with multiple departments.

Nice To Haves

  • Associate degree or administrative certification is a plus.
  • Experience using CRM software or permitting portals is a plus.

Responsibilities

  • Prepare, submit, and track permit applications for residential HVAC installations and replacements.
  • Coordinate with municipalities, building departments, and utility companies to obtain required permits.
  • Schedule inspections and monitor permit and inspection status to prevent installation delays.
  • Communicate permit approvals, inspection dates, and project updates with installers, project managers, sales teams, and homeowners.
  • Ensure all permit documentation is complete, accurate, and submitted on time.
  • Maintain organized electronic records of permits, inspections, and project documentation.
  • Resolve permitting issues by working with inspectors, municipalities, installers, and management.
  • Update company software with permit status, inspection results, and project notes.
  • Assist with final project closeout after inspections have been completed.
  • Provide exceptional customer service by answering homeowner questions regarding permits and inspections.
  • Stay current on local building codes and permitting requirements.
