About The Position

Action Air Systems is a leading HVAC and mechanical contractor serving commercial and industrial clients throughout Connecticut. We specialize in high-quality installations, system upgrades, and long-term service solutions. Our team is committed to safety, precision, and delivering projects on time and on budget. We are seeking a detail-oriented Project Coordinator to support our HVAC Construction projects. This role works closely with Project Managers, field teams, vendors, and general contractors to ensure projects are organized, documented, and executed efficiently. This is an excellent opportunity for someone with construction administration experience who is looking to grow within the mechanical/HVAC industry.

Requirements

  • Experience in HVAC or Mechanical Construction required
  • High school diploma or equivalent required, college degree preferred
  • 2+ years of experience in Construction Project Coordination, or similar role
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong organizational, communication, and time management skills
  • Ability to manage multiple priorities in a fast-paced environment

Nice To Haves

  • Experience with BuildOps/Service Titan, Procore, Sage, or similar construction software is a plus

Responsibilities

  • Prepare, track, and manage submittals, RFIs, and HVAC Construction Project documentation
  • Review Construction drawings and specifications to support project setup and execution
  • Maintain organized project files and document control systems (e.g., Procore, Sage)
  • Assist with purchase orders, equipment procurement, and delivery tracking
  • Coordinate with vendors, subcontractors, and internal teams
  • Support change orders and project updates
  • Prepare job start-up packages for field personnel
  • Compile O&M manuals, as-builts, and closeout documentation
  • Ensure project documentation aligns with contract requirements and safety standards
