About The Position

OVERVIEW: The Company is seeking a highly organized self-starter and execution-focused Construction Project Coordinator to support the Director of Construction and field operations team. This role plays a critical part in ensuring projects move efficiently from estimating through closeout, maintaining alignment between office and field operations. The Construction Project Coordinator will help keep projects on schedule, on budget, in compliance, and properly documented, serving as a key communication link between leadership, Permitting agencies, field crews, subcontractors, engineers, and clients. This position is ideal for a construction professional who thrives in a fast-paced, accountability-driven environment and takes ownership of outcomes. KEY RESULTS: P rojects are delivered on schedule and within approved budgets, with clear visibility into progress and risks Documentation is accurate, complete, compliant, and audit-ready throughout the project lifecycle Communication between field and office drives efficient execution and minimizes delays or rework Projects close out smoothly with full documentation, satisfied stakeholders, and maintained safety and quality standards

Responsibilities

  • Assist in developing and maintaining project plans, schedules, and budgets
  • Coordinate timelines, milestones, and deliverables
  • Track project progress and prepare management status updates
  • Support labor, equipment, and material resource planning
  • Assist with takeoffs and bid document preparation
  • Maintain contracts, permits, drawings, change orders, submittals, and RFIs
  • Prepare meeting agendas, minutes, and progress reports
  • Ensure compliance with company procedures and regulatory requirements
  • Assist with permit applications and environmental documentation
  • Serve as liaison between field crews, office staff, and leadership
  • Schedule meetings, inspections, and site visits
  • Provide project updates to clients and stakeholders
  • Coordinate with engineers, superintendents, and subcontractors to resolve issues
  • Coordinate delivery and tracking of materials and equipment
  • Review invoices and purchase orders against budgets
  • Monitor subcontractor performance
  • Assist with bid preparation and proposal submissions
  • Track project expenses and budget variances
  • Support project closeout documentation (warranties, as-builts, final reports)
  • Support enforcement of company safety policies and OSHA/USCG regulations
  • Track inspections, incidents, and corrective actions
  • Help ensure work meets quality standards and client expectations
