About The Position

All Airs is seeking a highly organized and detail-oriented Commercial Coordinator HVAC to support our commercial HVAC projects from quoting through final billing and closeout.

Requirements

Commercial HVAC, construction, or project administration experience preferred.
Experience with quoting, changing orders, billing, purchase orders, and project documentation.
Strong organizational and communication skills.
Excellent attention to detail and ability to manage multiple deadlines.
Proficiency with Microsoft Office and Excel.
ServiceTitan experience strongly preferred.
Ability to work independently and collaborate with contractors, customers, vendors, and internal teams.

Responsibilities

Prepare and send commercial HVAC quotes to contractors.
Manage new vendor documentation, COIs, and permits.
Administer change orders and coordinate change order billing.
Communicate project status, updates, and requirements to contractors, customers, and project teams.
Manage project closeout documentation.
Prepare and maintain Schedules of Values (SOVs).
Generate invoices and manage billing administration.
Prepare complete billing packages and communicate with customers regarding billing.
Coordinate equipment and material purchase orders.
Track equipment, materials, and POs in ServiceTitan
Maintain accurate project records and follow up on outstanding documentation.
Coordinate with contractors, vendors, customers, project managers, and accounting to keep projects moving efficiently.
