About The Position

The HVAC Assistant Project Manager supports Project Managers and field teams in the successful execution of multifamily HVAC construction projects, including apartments, mixed-use developments, senior living communities, and renovation projects. This role assists with preconstruction activities, permitting, submittals, procurement, scheduling, budgeting, project documentation, and closeout while ensuring projects are completed safely, on schedule, within budget, and in accordance with company standards and contract requirements.

Requirements

  • High School Diploma or GED required
  • 2+ years of experience in HVAC construction, mechanical contracting, project coordination, or project administration.
  • Knowledge of HVAC systems, construction processes, permitting, submittals, RFIs, procurement, and project documentation.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Ability to read and interpret construction drawings, specifications, schedules, and contract documents.
  • Valid driver's license and ability to travel to project sites as needed.
  • Must successfully pass background and drug screening requirements.

Nice To Haves

  • Associate's or Bachelor's degree in Construction Management, Engineering, Business, or related field preferred.
  • Multifamily construction experience preferred.
  • experience with Procore, Bluebeam, or other construction management software preferred.
  • Strong organizational, communication, and problem-solving skills with the ability to manage multiple projects and deadlines.

Responsibilities

  • Support Project Managers with daily project coordination and administrative functions.
  • Assist with preconstruction planning, project startup, permitting, and jurisdictional approvals.
  • Prepare, track, and manage HVAC submittments, shop drawings, RFIs, change orders, and project documentation.
  • Coordinate with owners, developers, general contractors, engineers, architects, subcontractors, vendors, and field personnel.
  • Track HVAC equipment, materials, and long-lead items to support project schedules and installation milestones.
  • Assist with project scheduling, budget tracking, cost control, billing, invoicing, and reporting.
  • Maintain organized project files, meeting minutes, correspondence, and contract documents.
  • Support quality control inspections, safety documentation, and compliance requirements.
  • Assist with punch list management, startup and commissioning documentation, warranties, as-built drawings, and project closeout packages.
  • Participate in project meetings and provide timely updates on project status, risks, and deliverables.
  • Help ensure project milestones, deadlines, and customer expectations are achieved.
  • Perform additional duties as assigned.
