About The Position

Determines applicant/recipient initial and continuing eligibility for the Colorado Child Care Assistance Program. Performs general clerical work including making phone calls, answering the telephone, filing, typing, data entry/retrieval, record keeping, copying, and faxing. Provides a variety of support functions for the child care subsidy programs. Determines eligibility for childcare subsidies through interviews and verification of information. Refers applicants to other community resources for other services if appropriate. Assists clients and providers in maintaining cooperative working relationships around child care arrangements.

Requirements

  • Performs general clerical work including making phone calls, answering the telephone, filing, typing, data entry/retrieval, record keeping, copying, and faxing.
  • Provides a variety of support functions for the child care subsidy programs.
  • Determines eligibility for childcare subsidies through interviews and verification of information.
  • Refers applicants to other community resources for other services if appropriate.
  • Assists clients and providers in maintaining cooperative working relationships around child care arrangements.
  • Interview applicants to assess household income, employment/schooling status, and resources against state guidelines to calculate subsidy amounts and parental fees.
  • Review re-certifications, monitor changes in client status, and update case files to ensure compliance with county and state policies.
  • Coordinate with licensed and exempt childcare providers, establish fiscal agreements, and monitor monthly billing and authorization forms.
  • Accurately input and verify information using complex state databases, such as Salesforce CHATS and Colorado Benefit Management System (CBMS).
  • Explain program rules, rights, and responsibilities to applicants, and provide referrals to other community or human services resources.
  • Performs general clerical support for the Child Care Assistance Program to include preparing and typing a variety of forms, letters, and documents, proofreading, data entry and retrieval, and faxing, copying, and processing in/outgoing mail.
  • Prepares and processes various documents, applications, reports, fees, and other materials in support of department operations.
  • Maintains the department records and filing systems, both manual and automated.
  • Creates, updates, and maintains files and records pursuant to department and County policies and procedures.
  • Assists with department and program communications, coordinating programs and events, and providing information to employees and customers.
  • Creates and/or updates informational materials such as policies and manuals, calendars, brochures, flyers, and/or newsletters and distributes as needed.
  • Maintains mailing lists.
  • Participates in various committees and boards related to program activities and responsibilities.
  • Refers children for child care assistance, process low-income childcare cases in a timely and accurate manner.
  • Interview clients, work with childcare providers.
  • Process TANF and Child Welfare childcare cases as per referrals from Case manager and Caseworkers.
  • Enter information into Trails system to screen exempt providers, provide intake information to exempt providers to complete back-ground check for potential criminal history and enable the department to make a sound determination whether to contract with a non-licensed provider.
  • Work closely with the child support unit to ensure cooperation for applicants who receive low-income child care.
  • Calculate and enter claims when needed and other duties as assigned to include cross training.
