About The Position

Provide Human Resource Services (HRS) with high-quality technical and administrative support across a range of HR systems and processes. Assist in ensuring data integrity, updating records, generating reports, and supporting employee communications via multiple channels. Contribute to various HRS initiatives through system troubleshooting and documentation, helping to maintain accurate and efficient HRS processes.

Requirements

  • Associate's degree from an accredited university required; major in human resources preferred.
  • Three years of relevant experience required.
  • Demonstrated ability to organize time and workloads efficiently to meet deadlines.
  • Demonstrated strong customer service orientation.
  • Attention to detail and multi-tasking skills required.
  • Ability to successfully manage multiple projects in a fast-paced environment and work independently.
  • Strong problem solving and critical thinking skills and experience.
  • Demonstrated organizational skills to plan work and prioritize.
  • Proficiency with standard functions within applications such as Microsoft 365/Google, (word processing, spreadsheets, presentation software), e-mail, web browsers, and databases.
  • Proficiency with computers (PCs and/or MACs) to include file and desktop management and operations, and working in a cloud-based and/or networked environment.

Nice To Haves

  • Experience with data collection and reporting preferred.
  • Experience with Human Resource Management Systems (HRMS) preferred.
  • Understanding of HR processes and data, structure, and functions, preferably using UKG or other Human Resource Management System (HRMS).
  • Exceptions to these requirements will be considered based on exemplary skills, training, and record of success.

Responsibilities

  • Serve as the technical point-of-contact for all HR systems and assist end users with system access and use (i.e., HRMS, Electronic Records Management System (ERMS), Adjunct Agreement System, Benefits Hub, Notification System, etc.).
  • Identify, troubleshoot, and research HR system issues; analyze, problem-solve, and follow through to resolution.
  • Monitor interfaces from HR systems to internal and external data systems.
  • Prepare and maintain HR system documentation including process documentation, user guides, procedure/policy manuals and other related documents; provide system training as needed.
  • Assist in coordinating the job description signature process in HRMS.
  • Send timely reminders to supervisors when internal employees apply for internal positions to ensure awareness.
  • Update and maintain skills assessment scores within applicant profiles to ensure accurate applicant records.
  • Manage the Adjunct Agreement System, including maintenance and troubleshooting for users.
  • Monitor adjunct training completion and payments to ensure compliance with established procedures and timelines.
  • Complete and submit the annual EEO-1 report, ensuring data accuracy and timely submission.
  • Assist with the management of ESC-20 University.
  • Assist with the creation and workflow of HR documents online and within the ERMS, using available tools, including AdobeSign and HRMS.
  • Assist with the creation and maintenance of electronic records within ERMS classification structure; build and apply retention and destruction schedules; control access and use; and, assist with implementation of Centerwide use.
  • Track, record, and analyze HR system invoices, monitor vendor agreements, ensure efficient procurement management, and make recommendations for service continuation.
  • Process employment verifications.
  • Monitor and distribute messages from the HRSupport and HRTechSupport inbox.
  • Conduct the annual purging of hardcopy personnel and job files.
  • Ensure records in areas of responsibility are maintained according to the Records Management Plan.
  • Provide training and guidance to staff on applicable HRS systems, processes, and workflows.
  • Identify potential data integrity issues and advise on appropriate audit and mitigation strategies to ensure data accuracy and quality.
  • Prepare and deliver ad hoc reports as needed.
  • Monitor and maintain required certifications for positions to ensure ongoing compliance.
  • Manage the annual emergency contact update process to ensure employee information remains current.
  • Maintain and update employee Public Education Information Management System (PEIMS) records and document processes; and, help ensure ongoing accuracy of PEIMS data.
  • Ensure employee data in the Center's Notification System is current; administer mass notifications via phone, text, and e-mail messages as needed.
  • Monitor and process data obtained from the Employee Self-Service System (i.e., name/address/phone number changes, etc.).
  • Assist with HRMS position management and organizational structure; establish cadence for accurate reporting and maintenance of ESC-20 organization charts.
  • Conduct New Employee Orientation (NEO) for areas of responsibility.
  • Develop and maintain HR process documentation for areas of responsibility.
  • Provide project coordination for HRS initiatives as needed.
  • Respond to client telephone calls and take prompt, appropriate action.
  • Scan and upload employee documents and job files and track the completion of all required new hire documents.
  • Process and maintain teacher service records.
  • Support the renewal of software licenses.
  • Maintain internet/intranet content in all areas of responsibility.
