About The Position

Magellan International School (MIS) in Austin, Texas, is seeking a full-time Human Resources Specialist (Payroll & Benefits) to support the administration of payroll, benefits, HRIS, and compliance processes. This role is responsible for ensuring payroll accuracy, maintaining benefits operations, and supporting employment documentation and onboarding activities. This position reports to the Director of Human Resources and works closely with the Accounting team.

Requirements

  • 3–5 years of payroll and/or HR benefits’ administration experience
  • Experience working with HRIS systems (Paycor preferred)
  • Working knowledge of payroll practices and benefits administration
  • Familiarity with employment documentation requirements (I-9, ACA, leave processes)
  • Advanced Excel and Google Workspace skills

  • Bachelor’s degree in Human Resources, Business, or related field
  • Experience in a K-12 school or nonprofit environment
  • SHRM-CP, PHR, or Certified Payroll Professional (CPP) credential
  • Spanish proficiency

Responsibilities

  • Payroll Administration
  • Process semi-monthly payroll accurately and on schedule
  • Maintain payroll data within Paycor HRIS
  • Manage time and attendance approvals
  • Support payroll reporting, reconciliation, and resolve discrepancies
  • Respond to employee payroll inquiries
  • Coordinate retirement plan contributions and eligibility tracking
  • Assist in identifying opportunities to improve payroll and HRIS processes
  • Benefits Administration
  • Administer employee benefit programs including enrollments, terminations, and qualifying life events
  • Support and coordinate Open Enrollment in collaboration with brokers and school leadership
  • Serve as primary contact for employee benefit questions
  • Review and reconcile carrier invoices with Accounting
  • Coordinate with vendors COBRA administration and disability claims
  • Support retirement plan administration and serve as a point of contact for employee inquiries
  • Compliance & Documentation
  • Maintain accurate I-9 documentation
  • Support periodic internal I-9 reviews under the direction of the Director of HR
  • Assist with ACA, EEO-1, Workers’ Comp, and OSHA reporting
  • Support FMLA and leave documentation processes
  • Maintain and organize personnel records in electronic systems
  • Support accurate timekeeping & payroll practices in alignment with wage and hour guidelines
  • Support compliance with federal, state, and local employment laws through accurate documentation
  • Assist in maintaining HR compliance calendar and tracking required deadlines
  • Contribute to process improvement efforts to enhance payroll, benefits, and compliance operations
  • Onboarding & HR Support
  • Manage onboarding paperwork, including I-9 verification and background checks
  • Support documentation and onboarding for international faculty, including familiarity with work authorization
  • Support with onboarding and new hire orientation logistics
  • Provide general HR administrative support
  • Performs other duties as assigned, which may change at any time with or without notice.
