About The Position

This role is responsible for a wide range of human resources functions within the department, including managing time and leave, processing payroll, coordinating employee evaluations, assisting with recruitment and hiring, managing employee changes, creating UFIDs, coordinating provider credentialing, assisting with faculty reports, managing licensing and immigration documentation, and participating in policy updates and special projects. The position requires attention to detail, adherence to deadlines, and the ability to work independently and collaboratively.

Requirements

  • Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Responsibilities

  • Coordinate the department’s time worked and leave use, running reports from Qgenda and MyUFL, and monitoring timecards.
  • Audit preliminary and final paylists biweekly to ensure accuracy of leave use, pay, and updates.
  • Enter leave use and monitor time worked for APP providers in the Kronos system, adhering to UF and Shands payroll deadlines.
  • Track overtime, special compensation, and December Personal leave, working with supervisors to ensure appropriate use.
  • Assist employees with timesheet entry and error correction.
  • Enter payroll distributions for new employees and adjust them as requested by supervisors.
  • Calculate call pay for various shifts and enter EPAF for payment, notifying providers of payment timing.
  • Coordinate feedback for bi-annual evaluations of TEAMS employees and annual evaluations of APP’s, Clinic Manager, Athletic Training Director, and others.
  • Distribute Qualtrics surveys for evaluations, collect results, and forward them to supervisors.
  • Track TEAMS evaluation deadlines and communicate with supervisors to ensure timely completion.
  • Route requests for approval to post, input requisitions into UF recruitment modules, and place advertisements.
  • Distribute applicant information to supervisors and obtain feedback.
  • Update PageUp for applicant status, input requests for background checks and RISC assessments, and close requisitions.
  • Coordinate hiring, termination, and employee changes for all employee types.
  • Complete necessary documents for employee changes, including background checks, letters of offer, I-9, Extended LOA requests, and position updates.
  • Obtain Gator 1 and overlay badge, request building access, and schedule training/onboarding for new hires.
  • Ensure appropriate offboarding procedures are followed for terminations.
  • Enter EPAF for hires, Person Of Interest, job edits, employment status updates, leave cashouts, and position creation/updates.
  • Create UFIDs and update department affiliations in the directory, ensuring accuracy and termination when applicable.
  • Serve as DSA for the department, ensuring appropriate security and identity setups for employees.
  • Coordinate credentialing providers, obtaining signatures, following up on documentation, and ensuring timely receipt of credentialing items.
  • Monitor credentialing applications for incoming providers to ensure they are credentialed prior to their start date.
  • Assist with the completion of semester Faculty Assignment Reports and Effort Reports, reaching out to faculty members for timely completion.
  • Inform providers of procedures to obtain Florida License and DEA number, running monthly reports to ensure currency and assisting with renewals.
  • Complete forms and correspondence required by the Board of Medicine and DEA, obtaining necessary signatures and distributing them.
  • Complete all immigration documentation for faculty and staff, running monthly reports to ensure visas are current.
  • Assist supervisor in providing guidance to the department and employees regarding visa/immigration.
  • Attend monthly department partner meetings and disseminate HR policy/procedure updates.
  • Make recommendations to supervisor on new department procedures related to policy updates.
  • Work on special projects as assigned by supervisor to facilitate department initiatives.
