About The Position

This position is responsible for assisting with and processing routine HR transactions for TEAMS, OPS, GRA, and volunteer populations in coordination with the department HR team. It supports recruitment and hiring activities, including preparing and routing hiring requests, assisting with job postings, coordinating background checks and verification requests, preparing draft offer letters, and helping process new hires, terminations, appointment changes, and renewals. The role also assists with processing FTE changes, salary changes, and other personnel-related actions in myUFL and related systems, while maintaining awareness of department, college, and university policies and procedures to ensure HR actions are completed accurately and on time. Additionally, the position coordinates onboarding and offboarding support, assists with payroll-related support and routine pay-impacting actions, and coordinates I-9 verification and related onboarding compliance steps. The role establishes and maintains confidential personnel files and electronic HR records, maintains HR tracking tools, and supports HR compliance-related processes. It also provides limited administrative support related to foreign national hires and renewals, processes and tracks volunteer appointments, and provides general departmental HR support. The expected salary range is $22.05 - $28.75.

Requirements

  • Bachelor's degree in an appropriate area, or an equivalent combination of education and experience.

Nice To Haves

  • One year of experience in administrative or HR support, preferably in an academic setting
  • Familiarity with UF and/or College of Medicine HR processes
  • Experience with myUFL, PageUp, Interfolio, Smartsheet, or similar tracking systems
  • Strong written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and deadlines
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Familiarity with Microsoft programs such as Outlook, Teams, Word, Excel, etc.

Responsibilities

  • Assist with and process routine HR transactions for TEAMS, OPS, GRA, and volunteer populations.
  • Support recruitment and hiring activities, including preparing hiring requests, assisting with job postings, coordinating background checks, preparing offer letters, and processing new hires, terminations, appointment changes, and renewals.
  • Assist with processing FTE changes, salary changes, and other personnel-related actions in myUFL and related systems.
  • Maintain awareness of department, college, and university policies and procedures.
  • Coordinate onboarding and offboarding support for employees.
  • Assist with onboarding logistics, communication, and preparation of new employee materials.
  • Support offboarding processes by coordinating checklist items, asset return follow-up, and separation-related documentation.
  • Assist with payroll-related support and routine pay-impacting actions, including tracking and processing appointment updates, salary changes, FTE changes, and leave-related actions.
  • Coordinate I-9 verification and related onboarding compliance steps.
  • Establish and maintain confidential personnel files and electronic HR records.
  • Maintain HR tracking tools, Smartsheet records, document logs, and filing systems.
  • Support HR compliance-related processes through routine tracking and follow-up.
  • Assist with tracking probationary periods, evaluations, training compliance, leave cash-outs, and other recurring personnel actions.
  • Provide routine guidance to employees and supervisors regarding standard HR procedures, forms, and next steps.
  • Assist the department HR team with limited administrative support related to foreign national hires and renewals.
  • Process and track volunteer appointments and assist with related departmental HR documentation.
  • Provide general departmental HR support for recurring projects, workflow updates, and process documentation.
