About The Position

The Human Resources Coordinator provides comprehensive administrative and human resources support for the McKetta Department of Chemical Engineering. This role is primarily responsible for the accurate and timely processing of employee appointments, onboarding and separations, timekeeping, and graduate student scholarship and tuition benefit documentation. The position ensures departmental compliance with university, state, and federal policies through the preparation of compliance reports and the maintenance of complete and accurate personnel records. Additionally, the role provides administrative support to the Department Director, assisting with departmental operations, coordinating staff recruitment activities, and supporting projects that require independent judgment, discretion, and a high level of confidentiality.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, Public Administration, or a related field.
  • Two years of experience in a Human Resources function.
  • Demonstrated ability to manage a high volume of work assignments in a fast-paced and dynamic environment while maintaining accuracy and meeting deadlines.
  • Proficiency in Microsoft Office (Excel, Outlook, Word, & Teams).
  • Ability to handle sensitive and confidential information with professionalism.
  • Strong attention to detail and organizational skills.
  • Proven ability to exercise tact, diplomacy, discretion, and sound judgment while cooperatively working with others.
  • Professional demeanor with the ability to work effectively both independently and as a part of a team.
  • Excellent customer service skills and the ability to communicate clearly and effectively with a variety of constituents.
  • Relevant education and experience may be substituted as appropriate.

Nice To Haves

  • More than two years of required human resources or professional related experience.
  • Experience in a higher education environment, including working closely with faculty and graduate students.
  • Demonstrated ability to anticipate departmental needs, proactively identify opportunities for improvement, and develop systems to streamline processes.
  • Strong Microsoft Excel, data tracking, and organizational skills.
  • Working knowledge of Workday, DEFINE, NRRECS, EASI and GSIS systems.

Responsibilities

  • Coordinate and process HR appointments, including new Visiting Scholar, Postdoctoral Fellow, undergraduate appointments, and graduate student employee assignments.
  • Coordinate with Texas Global to obtain necessary visa paperwork for international employees and Visiting Scholars.
  • Process costing changes as needed for all appointments.
  • Process scholarship and tuition documents each semester for graduate students in the department’s doctoral program.
  • Coordinate with research centers and other departments to ensure Chemical Engineering students receive tuition and scholarship support.
  • Coordinate and complete the onboarding process for new employees, including background checks, I-9 paperwork, and informing new employees of HR policies.
  • Coordinate out-processing for separating employees, including guidance on retirement paperwork, processing payouts, and terminating appointments in Workday.
  • Run monthly compliance reports related to onboarding, time and leave, payouts at separation, and work authorizations.
  • Maintain centralized department personnel files ensuring accuracy and completeness.
  • Provide administrative support to the Director, including assisting with departmental operations, coordinating staff recruitment efforts, and various projects.
  • Serve as the department’s primary point of contact for timekeeping questions and issues.
  • Review and approve timesheets for department staff and research personnel.
