About The Position

The HR Coordinator provides essential administrative and operational support to the Human Resources department, with a primary focus on maintaining and administering the firm's HRIS/payroll system (Paycom), coordinating new employee onboarding, and supporting recruiting and sourcing efforts. This role serves as a developing subject matter expert on Paycom and other HR systems, ensuring data integrity, accurate recordkeeping, and a smooth, professional experience for new hires and candidates. The HR Coordinator also assists with time and attendance recordkeeping, payroll support tasks, and general HR projects across the firm's Texas and California offices.

Requirements

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent experience will be considered in lieu of a degree.
  • 1–3 years of experience in an HR support, HRIS, payroll, or administrative role; law firm or professional services experience is a plus.
  • Prior exposure to an HRIS/payroll platform (Paycom experience preferred, but not required) is beneficial.
  • Strong attention to detail and a high level of accuracy when handling employee data and confidential information.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines across several office locations.
  • Strong written and verbal communication skills, with a professional and service-oriented approach to employee and candidate interactions.
  • Proficiency in Microsoft Office (Outlook, Word, Excel); aptitude for learning new HR technology systems.
  • Ability to maintain strict confidentiality regarding employee and firm information.
  • Self-motivated with the ability to work both independently and collaboratively as part of a small HR team.

Responsibilities

  • Maintain accurate and up-to-date employee records within Paycom, including new hire data entry, status changes, terminations, and personal information updates.
  • Develop working knowledge of Paycom modules (HR, payroll, time and attendance, onboarding, reporting) and grow into a systems subject matter expert for the firm.
  • Audit employee records periodically for accuracy and completeness, and assist in resolving data discrepancies.
  • Support system configuration updates, testing, and troubleshooting in partnership with HR leadership and Paycom support.
  • Generate standard and ad hoc reports from Paycom to support HR, payroll, and firm leadership needs.
  • Coordinate and process onboarding for all new employees across firm offices, including offer letter follow-up, new hire paperwork, I-9 completion, and Paycom setup.
  • Ensure all onboarding documents, forms, and policy acknowledgments provided to new hires are current and reflect the most recently approved versions.
  • Partner with IT, Facilities, and department leaders to coordinate a smooth first-day and first-week experience for new employees.
  • Track onboarding completion and follow up on outstanding items to ensure timely compliance.
  • Learn and apply candidate sourcing strategies using LinkedIn, Indeed, internal candidate databases, and other recruiting platforms.
  • Post open positions to job boards and the firm's career page, and maintain accurate, current posting content.
  • Assist with resume screening, candidate outreach, interview scheduling, and candidate communication.
  • Support recruiting metrics tracking and maintain organized candidate records.
  • Assist with maintaining accurate time entry records in Paycom and monitoring for missed punches or approval issues.
  • Support payroll processing tasks as assigned, including data verification and correction of routine discrepancies.
  • Serve as a point of contact for employee questions regarding time entry, self-service access, and basic payroll navigation.
  • Assist with HR projects and initiatives as assigned, which may include compliance efforts, policy rollouts, compensation projects, employee engagement activities, and process improvement work.
  • Maintain organized, confidential HR files and documentation in accordance with firm recordkeeping standards.
  • Respond to routine employee inquiries and escalate more complex matters to appropriate HR team members.
  • Perform other duties as assigned to support the HR department and firm operations.
