About The Position

This position is responsible for coordinating and administering support for Human Resources and Operations. The HR Coordinator will facilitate implementation of services, policies, procedures, and programs, in adherence with and prescribed by, HR and/or operations management. The incumbent will contribute to the accomplishment of company practices and objectives that strive to provide an employee-oriented, high-performance culture with emphasis on quality, productivity, and the ongoing development of a superior workforce.

Responsibilities

  • Perform general clerical duties including copying, faxing, mailing, and maintaining the filing system.
  • Collaborate with Department Managers on recruitment process and employee relations, ensuring accuracy and efficiency.
  • Coordinate maintenance of office area and equipment, including office supplies and machines.
  • Open, sort, and distribute incoming correspondence, mail, and inter-office pouches.
  • Greet visitors and address their inquiries and needs.
  • Answer the main department phone line and route calls appropriately.
  • Monitor HR mailbox, departmental email inboxes, and correspondence, distributing and processing as needed.
  • Respond to applicant and employee inquiries while maintaining confidentiality.
  • Establish positive and professional rapport with employees, providing consistent and reliable support.
  • Facilitate full cycle recruiting, including creating and posting job advertisements and coordinating job fair events.
  • Review online applications and upload information into the applicant tracking system (ATS).
  • Conduct intake/prescreen interviews of qualified applicants and schedule interviews.
  • Conduct reference checks, employment history verification, and criminal background checks.
  • Draft and present offer letters and new hire paperwork for onboarding, ensuring accuracy and compliance with employment laws.
  • Conduct post-offer, pre-employment drug screens following strict guidelines.
  • Coordinate and facilitate New Hire Orientations.
  • Coordinate training schedules for new hires and manage their release to work upon completion.
  • Generate Notice to Personnel (NTP) forms for transfers, status changes, or terminations.
  • Draft and issue pay change notification letters under the direction of HR management.
  • Maintain tracking of recruitment and hiring efforts, providing reports on hires, promotions, transfers, terminations, and other data.
  • Create and maintain employee files and filing system.
  • Maintain and replenish HR supplies and paperwork inventory.
  • Responsible for the upkeep of the front reception and visitor area.
  • Maintain employee personnel files and records in an organized manner, scanning and organizing files as necessary.
  • Perform all other duties as assigned.
