About The Position

Assist the Human Resources Team with daily administrative tasks and HR-related duties at COSI. Utilize knowledge of HR compliance and provide administrative support across a variety of functions to ensure the HR team operates efficiently and at a high level in support of the COSI team. Responsibilities may include general HR administration and support such as clerical duties, recruiting, hiring, benefits administration, and other HR functions as needed. In this role, you will play a key part in supporting recruitment, employee onboarding, record-keeping, and ensuring compliance with company policies and labor laws, while contributing to a positive and productive work environment for our Team Members.

Requirements

  • A minimum of 2-3 years of administrative experience or a college degree in Human Resources, Communications, Business, or a related field is required.
  • The ideal candidate demonstrates a professional demeanor, exercises a high level of discretion, and maintains strict confidentiality when handling sensitive and proprietary information.
  • Strong organizational and problem-solving skills, exceptional attention to detail and accuracy, and the ability to take initiative are essential.
  • This role requires the capacity to manage multiple priorities and adapt quickly to changing demands.
  • Proficiency with Microsoft Office applications is required, along with the ability to build effective working relationships with individuals at all levels of the organization.

Responsibilities

  • Create personnel files, maintain records, and complete other Human Resources administrative tasks as directed, while maintaining total discretion and confidentiality in all matters relating to employment.
  • Perform general office/clerical duties such as preparing HR materials, filing, mailings, reference checks and employment verifications to support other members of the Human Resources team.
  • Administer and manage COSI Team Member parking and bus pass programs.
  • Collaborate with members of the Human Resources team to develop, maintain, and update COSI policies, procedures, and related documentation, including the Team Member Handbook.
  • Supporting internal and external inquiries and requests related to the HR department.
  • Assist with inventory management for COSI Look uniforms, Human Resources supplies, and vending stock; maintain accurate inventory records, monitor reorder levels, and initiate replenishment as needed.
  • Assist with the recruitment process by maintaining the applicant tracking system, identifying candidates, performing background checks, and answering candidate questions. Help with new hire onboarding.
  • Aid in updating HR content, information, and postings on the COSI intranet.
  • Prepare and distribute the monthly list of paid Team Member anniversaries for recognition purposes.
  • Provide administrative and logistical support for Recreation and Wellness initiatives.
  • In conjunction with the Human Resources Generalist, provide support with the Performance Review process, including tracking and documentation.
  • Participate in Career Fairs and special events.
  • Support general COSI operations through participation in meetings as appropriate.
  • Provide support for special projects and department-wide initiatives related to Human Resources.
  • Serve as an example to other COSI Team Members and Volunteers in matters of appearance, attitude, and performance in a manner best serving COSI paid and Volunteer Team Members and Guests.
