About The Position

The Human Resources Coordinator assists associates, celebrates culture, and supports organizational goals. This position is involved in all aspects of the human resources function, including associate orientation, onboarding, file administration, compliance, documentation, associate recognition programs and events, and separations. The HR Coordinator will also collaborate with specialists on training, payroll, benefits, and recruitment. This role operates in a fast-paced environment requiring timeliness, accuracy, and excellent service. The HR Coordinator must uphold high ethical standards and professionalism, embodying the organization's values.

Requirements

  • Bachelor's degree (B. A.) from a four-year college or university.
  • At least 1-2 years of relevant experience and/or training.
  • Bilingual in English and Spanish required.
  • Availability to work on weekends and holidays is required.
  • Proficient with computer software such as Microsoft Office or related software, and HRIS systems.
  • Ability to work with ATS software.
  • Ability to always maintain a friendly, professional, team-oriented, positive demeanor and diplomatic attitude, especially under stress or challenges.
  • Ability to stand, kneel, squat for prolonged periods of time, up to and including, the entire shift and lift up to 15 lbs.

Responsibilities

  • Assist associates with needs and questions regarding benefits, time-off, associate relations, recognition, events, and onboarding, providing prompt and courteous assistance.
  • Coordinate with the talent acquisition team for hiring support, including job fair events, candidate screening, and managing recruitment traffic.
  • Direct candidates to the company career site and provide assistance as needed.
  • Assist in the coordination of worker’s compensation and safety processes, tracking, logging, and following up with injured associates.
  • Make job offers upon management approval and ensure all required processes and forms are completed prior to onboarding.
  • Onboard new employees, ensuring compliance with company policy and laws, including I-9 verification, creating parking passes, assisting with self-service modules, electronic/paper documentation, HRIS entry, and new hire announcements.
  • Maintain and update reports for the Human Resources team and managers.
  • Refer and track associate alcohol/drug screenings, criminal background checks, and driver background checks.
  • Process separations, ensuring timely and accurate final paperwork, termination packets, and final pay.
  • Conduct exit interviews and encourage associates to complete online exit surveys.
  • Assist the human resources leadership team with associate relations concerns and investigations as directed.
  • Maintain accurate and compliant personnel files, auditing them regularly.
  • Collaborate with the payroll department to ensure timely information is provided, especially regarding separations and paycheck issues.
  • Administer on-site storage of personnel and HR files, ensuring the office is stocked with necessary materials and supplies.
  • Maintain associate collateral and supplies, such as benefits brochures and forms.
  • Ensure the electronic bulletin board is updated with relevant information and post paper notices as needed.
  • Create and manage birthday and anniversary lists and related functions.
  • Review and audit I-9 documentation for accuracy and ensure all records are up-to-date.
  • Perform general administration functions, including data entry, address changes, new hire checklists, and e-time.
  • Assist other HR offices and HR Directors, including benefits and payroll teams.
  • Work with HR leaders to create, support, and staff associate events, including celebrations, open enrollment, and holiday programming.
  • Perform additional duties and responsibilities as directed by the leadership team.
