About The Position

Reporting to the Human Resources Business Partner (HRBP), the Human Resources Coordinator provides administrative and operational support across the employee lifecycle. The HR Coordinator serves as the first point of contact for routine HR inquiries and escalates complex matters to the HR Business Partner as appropriate. The Human Resources Coordinator coordinates recruitment, onboarding, employee records, HR administration, benefits, training, and HR programs while ensuring accurate records, confidentiality, legislative compliance, and a positive employee experience.

Requirements

  • Bachelor’s degree in Human Resources Management, Business Administration, or a related discipline.
  • 2-3 years’ experience in a Human Resources or administrative support role.
  • Excellent verbal and written communication skills, including active listening
  • Ability to manage multiple priorities in a fast-paced environment
  • Ability to exercise confidentiality, sound judgement, and discretion
  • Working knowledge of employment standards legislation and HR best practices
  • Understanding of confidentiality and privacy requirements
  • Strong organizational and time management skills and a high degree of self-motivation
  • Experience supporting recruitment, onboarding and HR administration
  • People oriented and results driven
  • Knowledge of HRIS platforms, databases and M365 applications
  • Fluency with people data
  • Competence to build and effectively manage interpersonal relationships at all levels of the company

Responsibilities

  • Coordinate recruitment activities, including posting job advertisements, scheduling interviews, and communicating with candidates, candidate reference checks, background screening, and pre-employment requirements.
  • Prepare employment offers, employment agreements, onboarding and offboarding documentation and new employee orientation materials.
  • Maintain accurate employee records within the HRIS and personnel files, ensuring data integrity and confidentiality.
  • Process employee status changes, including hires, transfers, promotions, leaves of absence, and terminations.
  • Monitor and maintain HR records to ensure compliance with organizational and legislative requirements.
  • Respond to routine employee inquiries regarding HR policies, procedures, benefits, and HR programs, referring complex matters to the HRBP.
  • Coordinate employee benefit and retirement plan enrolment, changes and terminations, liaising with benefit providers as required.
  • Support the administration of leave programs, accommodations, and employee wellness initiatives.
  • Assist in the implementation and administration of HR policies, programs, and initiatives.
  • Support performance management, employee engagement, and recognition programs.
  • Support compliance with employment legislation, organizational policies, and HR procedures through accurate administration and record keeping.
  • Coordinate HR information required for payroll processing, including employee status changes, leave information, and new hire documentation.
  • Maintain HR forms, templates, policies, and standard operating procedures to ensure current documentation.
  • Coordinate HR meetings, interviews, training sessions, and employee communications as required.
  • Track recruitment activity and maintain applicant records and recruitment metrics.
  • Coordinate mandatory training, maintain training records, and monitor competition requirements.
  • Maintain strict confidentiality when handling employee information and sensitive HR matters.
  • Support health and safety documentation and reporting as required.
  • Generate routine HR reports, workforce metrics and dashboards while assisting with HR audits and data validation.
  • Identify opportunities to improve HR processes and administrative efficiencies.
  • Support special HR projects and organizational initiatives as assigned.
  • Ensure compliance with COVE’s policies and procedures, including human resources, safety, and operational standards.
  • Take on additional responsibilities as required to support the success and growth of COVE’s programs and strategic initiatives.
