About The Position

Under the general direction of the VP of Human Resources and in partnership with the HR/Payroll team, the Human Resources Clerk provides high-quality administrative support across core HR functions. This role handles routine personnel transactions, HRIS updates, payroll-support tasks, file maintenance, and employee service inquiries while safeguarding confidentiality and ensuring data accuracy and compliance. Requirements

  • At least 1 year of experience in HR, payroll, recruitment, or administrative support (or equivalent combination of education/experience).
  • Proficiency with Microsoft Office (Word, Excel, Outlook); ability to learn HRIS/timekeeping systems.
  • Strong attention to detail, organization, and time management; accuracy in data entry and document handling.
  • Demonstrated integrity, discretion, and professional communication (written and verbal) with employees at all levels.
  • Must be at least 21 years of age
  • Valid Texas driver’s license, reliable transportation, and the ability to travel to multiple locations within the greater San Antonio metropolitan area.

Nice To Haves

  • Experience with an HRIS and electronic document management (e.g., onboarding, personnel files, timekeeping).
  • Familiarity with HR processes (onboarding, I-9, file audits, employment verifications, payroll basics).
  • Experience working with diverse populations (language, culture, race, physical ability, sexual orientation, etc.).

Responsibilities

  • Payroll Support: Assist with biweekly payroll preparation, including timekeeping reviews, basic audits, and follow-up on missing punches or approvals.
  • HRIS Administration: Enter and update employee data; run routine reports; monitor data integrity; escalate discrepancies.
  • Employee Access Support: Address staff password resets and access issues in accordance with security protocols.
  • Records & Compliance: Organize, audit, and maintain personnel files (electronic and paper) to meet YMCA policy and regulatory requirements; track expiring documents/certifications and coordinate collection with managers.
  • Employment Verifications: Process requests for employment and salary verification within YMCA guidelines.
  • Manager Support: Partner with hiring managers to obtain onboarding/compliance documents and to resolve routine HR questions.
  • Risk Management Clerical Support: Complete assigned clerical tasks to support incident reporting and related documentation.
  • Reporting & Tracking: Prepare basic HR reports, trackers, and logs as assigned (e.g., new hires, terminations, trainings).
  • Projects & Events: Support seasonal initiatives and special projects (e.g., open enrollment, audits, trainings).
  • Confidentiality & Professionalism: Handle sensitive information with discretion and in alignment with policy and law.
  • Other Duties as Assigned.
