About The Position

This position serves as the first point of contact for visitors and applicants, handling greetings, answering telephones, and directing inquiries to the appropriate HR personnel. The role involves coordinating department meetings, ensuring smooth office operations, and managing employee files to answer personnel data inquiries and facilitate personnel actions. Additionally, the HR Admin Assistant supports the preparation of papers and presentations, reviews and prioritizes incoming mail, and maintains employee records in all databases. A key responsibility is supporting the onboarding process by assisting new hires with pre- and post-employment requirements and ensuring documentation is complete. The role also involves responding to routine correspondence, making copies, and coordinating the purchasing and distribution of office supplies.

Requirements

  • Associate’s degree in business administration and/or equivalent work experience.
  • One (1) to three (3) or more years in HR or administrative support experience preferred.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint.
  • Mobility to work in a standard office setting and use standard office equipment.
  • Ability to attend meetings at various sites within and away from the office.
  • Strength to lift and carry materials weighing up to 20 pounds.
  • Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours each day.
  • Hearing and communicating in person and over the telephone.
  • Commitment to company values, policies and procedures and safety program.

Responsibilities

  • Coordinate department meetings and schedules to ensure smooth office operations.
  • Examine employee files to answer inquiries related to personnel data and provide information for personnel actions.
  • Locate and attach appropriate files to incoming correspondence requiring replies.
  • Assist with the preparation of papers and presentations for the assigned Manager.
  • Review and evaluate mail to identify items requiring priority attention.
  • Assist with maintaining employee records in all databases.
  • Support the onboarding process, including assisting new hires with pre-employment and post-hire requirements and ensuring required documentation is completed and maintained.
  • Complete tasks assigned to support Human Resources functions.
  • Independently respond to letters and general correspondence of a routine nature.
  • Make copies of correspondence or other printed material as requested.
  • Coordinate purchasing of office supplies with all department heads and distribute office supplies as needed.
